The Operations Assistant/Production Assistant Role:

In this role, you will be a prominent face of our companies, including both AEC and AEC Solar (A Sunpower Authorized Dealer). You will interact with our internal team, our suppliers, and our clients.  You have the opportunity to learn many skills and have input on each of those areas.  We are looking for smart, talented, social people to help grow and have an effect on the success of those around them.

We are comprised of two companies, one a 25 + year old successful engineering, design, and turn key construction company principally working in the commercial/municipal markets.  The other company operates primarily in the Solar Business and is in the top 5 largest residential/Commercial Solar companies in the United States, and ranks ahead of all competitors and consumer brands for client satisfaction and brand warranty.

General Responsibilities:

  • Opens office for 8am. Tuesdays at 730 am.  There is some flexibility if needed and identified and not abused (we know "life happens").
  • Operations: anything required to learn, and assist in running and growing certain aspects of the operations portion of the business.
  • Solar Operations: Specific processes aimed at supporting the Solar Co-ordinations between Sales and Installation for the business
  • Client Satisfaction: Effectively assisting to ensure and measure client satisfaction.
  • Social Media: assist and track social media usage as a marketing function
  • Operations (Answering, screening, and directing incoming phone calls to appropriate personnel; greeting clients while promoting a decorum of professionalism: calm, friendly and accommodating to their needs; preparing reception room and taking notes at weekly staff/production meetings)
  • Daily Responsibilities: Purchase Orders (creation of and submittal to Vendors), Materials (Tracking of, checking in and verifying for accuracy, Packing Lists, PODs), Accounting (A/P, A/R, Returns, Credits), Subcontractors (waivers, tax and liability certs, agreements), Vendors (maintain files, keep terms updated accurate, process bills), Clients (maintain/create project folders and documents, track payments and create invoices), analyzing data and maintaining departmental excel spreadsheets, preparing (editing, printing, correlating) documents containing confidential information. Will maintain all office procedures/processes and ensure that they run efficiently and adhere to established protocol.
  • Assist to coordinate building needs.  (space)
  • Additional responsibilities of day to day administrative support to other office personnel including, but not limited to: general clerical duties (filing, scanning, faxing, copying, typing & data entry), marketing and sales research, calendar maintenance and occasional travel arrangements. Light housekeeping, maintaining overall organization and professional appearance of the office. Maintain office machines-keeping records and requesting service calls as needed. Supplies (both office and Kitchen) inventory/ maintenance and ordering.
