SUMMARY:
The Contract Billing Coordinator performs contract billings and provides excellent customer service to their external and internal customers.
ESSENTIAL DUTIES AND REPONSIBILITIES:
Books contract jobs and bills appropriately according to the contract language.
Completes Certified Payroll on a weekly or monthly basis according to the contract.
Posts and bills change orders as needed per job.
Works closely with the customer to obtain information needed for each job such as PO#’s, tax-exempt forms, insurance certificates, liens, and certified payroll information.
Works closely with Project Manager’s from all locations to gather information needed to appropriately book and bill all jobs.
Completes A.I.A. billings accurately and in a timely fashion.
Maintains relationships with internal and external customers, and is the main point of contact for billings.
Scans and uploads all necessary documents into customer folders/files within the electronic document storage system.

No direct supervisory responsibilities
QUALIFICATIONS:
Good oral, written and telephone skills
Good customer service skills
Time management, organizational and interpersonal skills
Moderate to advanced computer skills
Proficient in Microsoft Excel
Ability to read, analyze, and interpret general business procedures and regulations.
Ability to define problems, collect data, establish facts and draw valid conclusions.
Ability to calculate figures and amounts such as taxes, retention, discounts, interest, commissions, etc.
EDUCATION and/or EXPERIENCE:
High School Diploma/GED with an Associate’s Degree preferred
Two years’ experience in an administrative setting or equivalent combination of education and experience.
CERTIFICATES, LICENSES, REGISTRATIONS:
None required for this position
Notary Public a plus
PHYSICAL DEMANDS and WORK ENVIRONMENT:
Office environment – moderate noise
Mostly sedentary role with the need to move about the office to copy, scan, fax and file
Will require opening of heavy file cabinets with bending, stooping or kneeling to file
May require lifting of storage boxes, etc.
Requires using the computer and phone consistently throughout the day
