GENERAL PURPOSE OF THE JOB:

Process HVAC part orders, provide pricing, order fulfillment and handle customer inquiries. The Parts Coordinator will create and develop on-going business relationships with customers via phone. This professional will also provide excellent customer service including phone sales and pricing, processing customer orders via phone and email, expediting customer orders, follow-up on supplier orders. Strong attention to detail and coordinating skills vital as this position establishes quality assurance for the Michael & Son Purchasing Departmet.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process customer orders and expedite deliveries
  • Quote parts requests for the Service Department
  • Coordinate transfers, returns, credits and receiving of HVAC parts
  • Assist if needed with pulling and shipping orders
  • Assist with truck shipments, inbound and outbound
  • Expedite parts for Service orders and contacting Vendors for delivery dates
  • Assist Warranty Administrator in handling of all customer inquiries; supporting on-going communications and sales.
  • Knowledgeable on HVAC products, parts and services including strong technical background on all Company HVAC part product offerings
  • Good understanding of competition and offerings
  • Build and maintain excellent customer relations (internal and external)
  • Ability to look for ways to improve and promote quality
  • Recognize customer concerns; addressing proactively
  • Maintain vendor/factory processing updates when needed
  • Other duties as assigned by supervisor or management

 

QUALIFICATIONS, SKILLS AND EDUCATION:

  • Excellent communication and customer relations/service skills
  • Knowledge or history of equipment parts sales; computer experience with parts a plus
  • Mechanically oriented/technical background preferred
  • Ability to multi-task and work well under pressure or deadlines to meet customer expectations in fast-paced environment, self-starter, enthusiastic, high energy individual, ability to demonstrate accuracy and thoroughness
  • 1-2 year experience in technical phone sales – preferably working with parts.
