Accounting Manager

Located in a beautifully renovated historic building in downtown Sioux Falls, it is one of only a few facilities in the world to bring together under one roof the performing arts, visual arts, interactive science and educational opportunities.

The Accounting Manager is a full-time, exempt role to help manage systems and procedures for the Pavilion’s financial operations, exercising independent judgement to ensure conformity with fiscal best practice, company policies and goals. They are able to manage the day-to-day financial life of the organization while working proactively to anticipate and plan for the future. Process journal entries, supervise accounts payable, accounts receivable, and cash receipts functions. Assist with account analysis and monthly financial statement preparation. Manage all aspects of the payroll process.

Organizational Relationships:

  • Primarily responsible to the Washington Pavilion Management, Inc. CFO for the successful performance of assigned responsibilities.
  • Secondarily responsible to other Chief Officers and Pavilion senior leadership for routine projects and special needs.
  • Supervise the Accountants (2) and Executive Assistant
     

FINANCIAL MANAGEMENT AND REPORTING

  • Work closely with CFO and Pavilion senior leadership on strategic financial planning and analysis.
  • Provide ad hoc analysis as requested by CFO and senior leadership.
  • Produce ongoing fiscal reports and analysis for all departments, along with providing recommendations for fiscal process improvement.
  • Monitor performance against budget, provide forecasts, and recommend adjustments and corrections as needed.
  • Maintain high quality financial account reconciliation.
  • Input standard journal entries and accruals into general ledger system.
  • Work with finance staff in monthly closing process ensuring accurate financial transactions for CFO approval and departmental reporting.
  • Reconcile and monitor accuracy of various balance sheet accounts.
  • Continue to establish, strengthen and monitor internal controls for all financial transactions.
  • Manage annual budgeting cycle. Work closely with departmental leaders to prepare the annual budget.
  • Review all purchasing card transactions for appropriateness of purchase and adequacy of documentation.
  • Support CFO in limited administrative duties.
  • Prepare audit work papers and assist auditors.
  • Manage insurance programs of the organization and recommend insurance requirements and policies.
  • Account for event related expenses and conduct night-of-event and final event settlements.
  • Manage grant reporting and transactions, maintain related financial records.
  • Monitor and oversee reconciliation of accounts receivable. Maintain collection of outstanding accounts on a current basis; forward delinquent accounts to attorney/collection agency.
  • Review and oversee reconciliation of cash receipts.
  • Oversee and maintain a comprehensive accounts payable system. Track 1099 information. Issue 1099 forms to vendors and file with the IRS.
  • Maintain inventory records.
  • Maintain petty cash records. Perform routine audits of the box office safe and cash on hand.

 

STAFF MANAGEMENT

  • Responsible for the coordination and evaluation of the finance department staff. Directly supervise and mentor the finance department employees. Help them set and achieve annual performance goals.
  • Carry out supervisory responsibilities in accordance with Pavilion policies and applicable laws.
  • Serve as trusted advisor to CEO/Chief Officers and senior leadership of the Pavilion.

 

PAYROLL MANAGEMENT:

  • Process payroll including review and entry of timesheets into payroll system, calculate payroll, monitor paid time off (PTO) hours, control payroll deductions, process federal tax deposits consistent with regulatory requirements.
  • Complete and file all quarterly and annual forms including Form 941, SUTA forms, W-2 & W-3 forms.
  • Maintain ACA tracking.
  • Provide support for benefits administration and other HR functions as necessary.

 

OTHER:

  • Represent Washington Pavilion Management, Inc. in professional and community activities as deemed appropriate.
  • Maintain and develop relationships with personnel from outside organizations and vendors.
  • Perform other duties as assigned.
  • Requires ability to occasionally work nights, weekends and holidays.

 

QUALIFICATIONS:

  • Minimum requirements of bachelor’s degree, preferably in accounting, plus 3-5 years’ progressive experience in accounting work, financial analysis/reporting, payroll processing and group benefits administration.
  • Superior analytical skills, with an ability to understand the finer details as well as the bigger picture.
  • Ability to accurately work under pressure, meeting deadlines and possess a demonstrated capacity to manage high volume of work.
  • Computer skills essential. Must be proficient in Excel & accounting systems. Must possess an exceptional technical aptitude to extract data.
  • Strong verbal and written communications skills and organizational skills.
  • Must be a self-starter with strong problem-solving abilities to identify problems and propose solutions.
  • Strong experience in non-profit accounting desirable.
