ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Enters weekly payroll for employees (union and non-union).

 

  • Responsible for running weekly certified payroll reports.

 

  • Assists with data entry, billing, job creation and reports.

 

  • Plans, administers and controls budgets for equipment and supplies.

 

  • Monitors the facility to ensure that it remains safe, secure and well-maintained, including collection of vehicle maintenance logs and gas receipts.

 

  • Greets visitors or callers, and handles their inquiries or directs them appropriately.

 

  • Opens, sorts and routes incoming mail, as well as processing the checks that are received for deposit.

 

  • Assists with the shipping and receiving for the office such as ordering shipping supplies, processing receipts to send to purchasing and shipping UPS / FED-EX packages.

 

  • Analyzes internal processes and recommends and implements procedural or policy changes to improve operations, such as supply changes or the disposal of records.

 

  • Oversees the maintenance and repair of machinery, equipment and electrical and mechanical systems such as printers, fax machines, office computers.

 

 

SUPERVISORY RESPONSIBILITIES:

 

  • None

 

QUALIFICATIONS:

  • Strong verbal, written and telephone skills
  • Strong attention to detail and accuracy skills
  • Ability to handle a high call volume 
  • Moderate to advanced computer skills, including Microsoft Office and Adobe

 

 EDUCATION and/or EXPERIENCE:

  • High school diploma/GED required, associate's degree a plus
  • One to two years of experience in an office setting preferred
  • Previous payroll experience a plus
  • Ability to use a computer operated phone system and other office equipment
