ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enters weekly payroll for employees (union and non-union).
- Responsible for running weekly certified payroll reports.
- Assists with data entry, billing, job creation and reports.
- Plans, administers and controls budgets for equipment and supplies.
- Monitors the facility to ensure that it remains safe, secure and well-maintained, including collection of vehicle maintenance logs and gas receipts.
- Greets visitors or callers, and handles their inquiries or directs them appropriately.
- Opens, sorts and routes incoming mail, as well as processing the checks that are received for deposit.
- Assists with the shipping and receiving for the office such as ordering shipping supplies, processing receipts to send to purchasing and shipping UPS / FED-EX packages.
- Analyzes internal processes and recommends and implements procedural or policy changes to improve operations, such as supply changes or the disposal of records.
- Oversees the maintenance and repair of machinery, equipment and electrical and mechanical systems such as printers, fax machines, office computers.
SUPERVISORY RESPONSIBILITIES:
QUALIFICATIONS:
- Strong verbal, written and telephone skills
- Strong attention to detail and accuracy skills
- Ability to handle a high call volume
- Moderate to advanced computer skills, including Microsoft Office and Adobe
EDUCATION and/or EXPERIENCE:
- High school diploma/GED required, associate's degree a plus
- One to two years of experience in an office setting preferred
- Previous payroll experience a plus
- Ability to use a computer operated phone system and other office equipment
