The Administrative Operations Specialist is the primary point of contact as it applies to new job setup within our service software. The position is designed to assist all Davis-Ulmer branches with the creation of new jobs by collecting accurate information from the sales person within specified time limits. This role will also be responsible for updating and maintaining information on our company database according to set data entry standards.

ESSENTIAL DUTIES AND REPONSIBILITIES:

 

  • Create and maintain customer/job site accounts in our database, including running new customer credit

 

  • Review new job setup forms and backup paperwork to verify complete information has been submitted

 

  • Create new service jobs and/or inspection contracts in our service & inspection software based on information provided by sales person

 

  • Create and maintain information in our inspections forms software

 

  • Compile, verify accuracy and sort information according to priorities

 

  • Research and obtain further information for incomplete documents

 

  • Scans and electronically files documentation when needed

 

 

SUPERVISORY RESPONSIBILITIES:

  • No direct supervisory responsibilities

 

QUALIFICATIONS:

 

  • Good oral, written and telephone skills
  • Good customer service skills
  • Prioritization and management of multiple tasks
  • Proven computer proficiency in Microsoft Suite
  • Typing speed and accuracy
  • Detail oriented and dependable
  • Must be a self-starter who takes initiative and anticipates needs
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Organization skills, with an ability to stay focused on assigned tasks
  • Proficient in data entry
  • Industry knowledge of construction and facility services a plus

 

EDUCATION and/or EXPERIENCE:

 

  • High School Diploma/GED with an Associate’s Degree preferred
  • Two years’ experience in an administrative setting or equivalent combination of education and experience preferred

 

CERTIFICATES, LICENSES, REGISTRATIONS:

 

  • None required for this position

 

PHYSICAL DEMANDS and WORK ENVIRONMENT:

 

  • Office environment – moderate noise
  • Mostly sedentary role with the need to move about the office to copy, scan, fax and file
  • Requires using the computer and phone consistently throughout the day
