 Position Goal 

 

This position is responsible for data entry for the LiHEAP assessment and resolution period of the program year.  This position is also responsible for answering phone calls for the Energy Line, taking appointments and completing intake for Energy Assistance programs.    

 

Schedule & Wage

Monday-Friday 8 am -5 pm; September 1st- January 30th, 2019; $13.37

 

ESSENTIAL DUTIES

 

  1. Must maintain confidentiality at all times
  2. Must always represent HACAP in a positive and professional manner
  3. Must attend training as requested to demonstrate a continued effort to grow professionally
  4. Adhere to all policies as an employee of HACAP
  5. Attend all agency-wide trainings
  6. Establish a collaborative and communicative relationship with fellow staff
  7. Must be punctual and dependable in completing assignments, meeting report deadlines; daily attendance is essential
  8. Answer telephone, provide accurate program information and/or route to appropriate person
  9. Greet visitors/clients, providing information on agency programs or external resources
  10. Prepare client selection lists and rental agreements if applicable
  11. Query client selection database for various records
  12. Input data from energy assistance applications and basic intake forms and update data to ensure accuracy and completeness
  13. Assist with maintaining agency customer/client database
  14. Assist with LiHEAP data entry and processing responsibilities as necessary
  15. Maintain working relationship with vendors regarding energy assistance problems and request information on customer accounts
  16. Assist in compiling monthly records for state reports
  17. Assist in reporting and tracking of any required program/funding regulations
  18. Prepare miscellaneous program(s) correspondence
  19. Prepare and run reports and queries – assuring accuracy
  20. Compose routine correspondence, process/route incoming mail and prepare outgoing mail
  21. File approval/denial letters, labels, vendor receipts, checks, applications and other records as necessary
  22. Provide other general administrative support for Weatherization/LiHEAP Department, handling Incoming calls and faxes

 

 QUALIFICATIONS

EDUCATION and/or EXPERIENCE

 

  1. High school diploma or GED
  2. AA in business administration or one (1) year of experience in Human Services preferred.
  3. Work experience to demonstrate:
    • Effective written and verbal communication skills and active listening techniques.
    • Ability to learn, apply and train on new technology.
    • Excellent organizational skills.
    • Ability to work in a fast paced, multi-task environment with limited supervision.
    • Willingness and ability to be flexible and adapt quickly to change within the organization or program.
    • Ability to read and interpret documents such as: safety rules, operating manuals, and procedures.
  4. Working knowledge of personal computers and standard software such as: word processing, spreadsheet, and database management.

 

PHYSICAL DEMANDS

 

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear.  The employee frequently is required to sit and reach with hands and arms.  The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

The noise level in the work environment is usually moderate.
