Job Summary:

The Construction Coordinator will work closely with Donnelly’s sub-contractors, vendors and general contractors to help manage the submittal process for all construction jobs. The Construction Coordinator will also be responsible for working with the project manager to assist in the closeout process once a job complete.

Essential Job Functions:

  • Work daily with Construction Project Managers on all open jobs
  • Manage all shop drawings and other submittals to ensure all versions are up to date and available to all project team members
  • Obtain insurance certificates from each sub-contractor and submit to the General Contractor
  • Track shipping and delivery for all job-related materials and equipment
  • Assist in the preparation of all close out documents including warranty letters and owner’s manuals
  • Prepare and issue purchase orders to subcontractors and vendors as directed by the Project Manager
  • Perform administrative tasks for construction executives and project managers as needed
  • Create & modify documents/proposals using ERP system and Microsoft Office
  • Support all Project Managers as it relates to project timelines and deliverables
  • Submit and track all equipment start up forms

Position Requirements/Experience/ Education:

  • 2-4 years of experience in an administrative function
  • Demonstrate written and verbal skills necessary to complete assigned projects
  • Ability to write routine reports and business correspondence
  • Speak effectively before groups of customers and employees
  • Treat sensitive information with the highest level of confidentiality
  • Multi-task and prioritize
  • Above average proficiency in MS Office Suite and Dropbox
  • Must have familiarity with a variety of software, programs, including but not limited to an ERP system
