Medical Assistant

A Medical Assistant (PT) will support the veterinary staff and veterinarians at the Sioux Falls Area Humane Society by performing the following duties: screening documents and telephone calls; scheduling appointments/surgeries; providing billing to the front office if applicable; transcribing dictation; preparing medical reports and updating medical notes from surgeries and animal care, animal care histories, operative notes, and correspondence; and maintaining office files and records. Individuals in this role will also be responsible for cleaning surgical instruments, wrapping surgical packs, and sterilizing surgical supplies. Additional responsibilities include cleaning the surgical suite, restocking supplies, performing equipment maintenance, and ensuring readiness for upcoming surgeries. This position is part-time, 25-30 hrs/week. Hours are 1:00pm-6:00pm M-F with possible weekends with our growing veterinary program.

ESSENTIAL FUNCTIONS:

  • Represents the veterinarians and the veterinarian team by screening incoming telephone calls, recording and transmitting messages, scheduling surgeries, and arranging referrals to other providers if additional services are needed. Must be able to multitask as working with multiple veterinarians may be required.
  • Ensures productivity by maintaining calendars and scheduling when needed.
  • Produces information by transcribing dictation, preparing medical reports and summaries, histories, operative notes, manuscripts, and correspondence. Enters information by using PetPoint, Microsoft Outlook, Microsoft Word, and Microsoft Excel.
  • Ensures results through planning, organizing, coordinating and managing projects.
  • Provides historical reference by developing and utilizing filing and retrieval systems, maintaining records, and recording meeting discussion according to shelter standards.
  • Route receipts/expenses to Business Office Manager.
  • Maintains confidentiality and protects operations by keeping information confidential.
  • Maintains office/medical supplies inventory by checking stock, anticipating needs, placing and expediting orders and verifying receipt.
  • Keeps office equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and calling for repairs.
  • Maintains quality results by following and enforcing standards.
  • Cleans the surgery suite, maintains surgical equipment, and prepares the area for surgeries to assist the veterinary team.
  • Sterilizes instruments for surgery and packages items for surgery.  

QUALIFICATIONS AND REQUIREMENTS:

Education and Work Experience

  • High School diploma or GED.
  • Previous experience in a kennel, veterinary, or similar environment desirable.
  • Skills, Knowledge and Abilities
  • Must have good communication skills, both verbal and written; must be able to maintain professional and tactful conduct with customers and staff at all times.
  • Must have strong computer skills.
  • Must have and maintain valid driver’s license with good driving record.
  • Office experience: telephone skills, typing, business knowledge, organization, time management, customer service, verbal communication, and reporting skills.
  • PetPoint experience beneficial, but not required. Attention to detail is necessary along with excellent verbal and written skills. Excellent attendance is required.
  • Physical Capabilities Required
  • Job requires a high degree of working with animals.
  • Generally light to medium work – regularly exerting up to 20 pounds of force to lift or move objects.
  • Moderate amounts of walking, standing, kneeling, lifting, feeling, talking and hearing. Balancing, stooping, crouching, reaching, pushing, pulling, grasping and repetitive motions are required.
  • Mostly inside work; some outside work and temperature changes involved; some noise from animals.
