Job Summary: 

An Office Assistant will perform various tasks to ensure internal and external reporting is completed timely and accurately. The job will also provide support to Supervision and bridge the gap between field operations and office operations. The position requires organization, problem solving and an ability to prioritize the workflow according to the collective needs of the company, our customer and Supervision. The job requires regular independent completion of various administrative tasks to ensure Supervision can invest more time on achieving company goals of operational safety, work quality and growth.

 Essential Job Functions:

  • Collect field paperwork, review for accuracy, organize and prepare for reporting.
  • Create and maintain various internal and external reporting spreadsheets and correspondence.
  • Prepare documents for payroll and customer billing.

  • Furnish Supervision and utility representative with reports of orders completed, units of work completed, crew time, etc.  

  • Support Supervision and staff in a professional (meet deadlines, be proactive and communicate effectively) and timely manner.  

  • Help organize, assign and route incoming work from customer.

  • Review and maintain complete/incomplete work and provide schedule/status report. 
  • Maintain accurate records, timesheets and reports related to the performance of the crew operation.

  • Review and maintain employee personnel files and records.

  • Assist with the hiring process (help candidate apply online, schedule interview, onboard).

  • Perform data entry and scanning to generate and prepare reports (p card).

  • Answer phone and provide assistance and support to internal staff, client and client’s customers. 
  • Answer phone, take messages and relay information to appropriate internal staff for resolution.

  • Perform other related work as assigned. 

 Minimum Requirements: 

  • Must possess mental and physical endurance to work throughout an eight or ten-hour shift. 
  • Must be able Cooperate with Supervision, General Foreperson, Crewmembers, Utility Representatives and Customers.

  • Must be able to write, read and comprehend written and verbal job instructions/information.

  • Must be able to use a computer, Microsoft Outlook, Word, Excel and similar related programs. 
  • Able to interpret work assignment/diagrams (on tablet) provided by Supervision.
  • Capable of adjusting to field requirements and take independent action without close supervision.
  • Able to multi-task and produce in a high paced team-oriented environment.

  • Must be organized and detail oriented to ensure task(s) are completed timely and accurately.
  • Must be able to meet short deadlines and be able to multi-task.
