JOB DESCRIPTION

The Operations Managerloves the brand, loves our products, and is passionate about bringing our products and services to life for our customers. He/she assists in the day-to-day operations of the store and sales floor, identifying repair and maintenance needs as well as enforcing proper inventory practices. The Operations Manager directly oversees both the Maintenance and Inventory teams and is directly responsible for the overall interior and exterior store cleanliness, repairs, inventory control/accuracy, and controlling related costs and contracts in a responsible way. The Operations Manager must effectively manage store operations, ensuring consistency and compliance with all company Standard Operating Procedures (SOPs).

ESSENTIAL JOB FUNCTIONS

  • Responsible for the overall Maintenance and Inventory team’s performance, goal setting, and performance reviews
  • Day-to-day management, communicating tasks, staffing, and scheduling of the maintenance and inventory workforce with particular emphasis on store cleanliness, safety, and inventory handling/control
  • Partners with the Sales Manager on completing maintenance and inventory associate and leadership schedules to meet the needs of the departments while still controlling payroll
  • Train new hires and issue on the spot training and development of all associates as needed to ensure full potential is reached
  • Ensures company standards are met for store and associate appearance at all times.
  • Communicate any staff, product, and operational issues within the store to the General Manger (GM) and/or Assistant General Manger (AGM) in a timely fashion and assist with executing action plans to improve
  • Perform all opening and closing procedures to company standards
  • Manage staff breaks as needed
  • Demonstrates desired behaviors and leads by example by training assistant store managers, supervisors, leads, and associates to utilize Dylan’s Candy Bar’s four service skills
  • Establishes and maintains a positive work environment that supports high team member morale and retention
  • Leverages individual associate and management strengths, and creates developmental plans to build bench strength for future growth within the organization
  • Observe the sales floor and make sure the business is running effectively and smoothly in a clean, stocked, and presentable store
  • Follow all cash handling procedures and issue register audits
  • Timely and appropriate follow-up communication on tasks, product issues, customer feedback, and business opportunities as needed
  • Leading and directing the team in identifying basic cleanliness needs of the store, including but not limited to: sweeping, mopping, dusting, trash handling, and maintaining customer and employee restrooms
  • Maintaining cleaning and maintenance logs where applicable, including but not limited to: fire alarm, restrooms, bulk units/bins, etc.
  • Ensuring the perimeter and interior of the store is clean and presentable at all times in order to provide the best possible customer experience
  • Scheduling repair work and larger cleaning tasks to happen during off peak hours and following up on progress through completion
  • Managing service contracts and sourcing quotes and vendors for preventative maintenance and best possible pricing as needed
  • Bulk, Cleaning, and operational supply ordering
  • Ensuring all back of house areas are clean, neat, and organized at all times and associates are following proper preventative safety practices and first in/first out FIFO practices
  • Implementing and managing practices to prevent rodents and pests
  • Executing and scheduling basic store repairs, cleaning, & maintenance both front and back of house, including but not limited to: paint touch-ups, changing light bulbs, windows/glass, trash handling, HVAC, retail and café equipment, and other deep cleaning projects as directed by GM and/or AGM
  • Ensuring proper rain and snow procedures are being followed as needed
  • Ensuring all members of senior management and maintenance teams are trained properly and able to trouble-shoot AC and heat settings, store music, equipment settings and use, proper cleaning materials and where they are used, monitors, lighting, scent cannons, and any other interactive store elements
  • Managing vendor contact lists, alarm codes, door keypads, and building keys (master key box)
  • Properly receiving shipments and checking in all inventory to company standards
  • Communicating inventory liabilities, expiration issues, shipment damages/mishandling, and best practices to the corporate inventory team
  • Participating in weekly corporate inventory calls and/or walkthroughs
  • Managing all in-store mark-outs and store to store transfers
  • Working with the store and corporate merchandising, inventory, and buying teams to ensure product levels are correct to support replenishment and sell-through.
  • Analyzing weekly transfer orders to ensure the store is being replenished properly and will have the necessary supplies available to run the business.
  • Day-to-day replenishment of the sales floor and personalization programs.
  • Leading the store teams through annual inventory counts from preparation to execution.
  • Managing customer and company shipping and ensuring all supplies are available to do so
  • Managing cycle counts as requested by corporate partners or GM/AGM
  • Analyzing negative on-hand reports to true up inventory accuracy and identify common problems with inventory handling
  • Ensuring all interior and exterior graphics and interactive elements are in good condition and properly functioning at all times and communicating with corporate partners when attention is needed
  • Any other duties as assigned by the GM and/or AGM           

SKILLS & QUALIFICATIONS

  • 5-7 years maintenance and/or inventory management experience
  • Bachelor’s Degree preferred
  • Ability to lift a minimum of 50lbs and be on your feet for long periods of time
  • Ability to analyze and control costs
  • Ability to crawl, bend, and twist in small spaces, be on a ladder or scaffolding, and operate pallet jacks
  • Willingness to get dirty at work and to deal with rodents and pests as well as inclement weather as needed
  • Excellent organizational, decision making, problem solving, and teambuilding skills
  • Strong interpersonal skills to communicate with confidence to both internal and external customers, employees, and corporate partners
  • Willingness to work a flexible schedule which will include nights, weekends, holidays, and occasional overnight
  • Financial and Business Acumen: Ability to evaluate financial and business indicators and translate data into actionable information to cut costs in controllable areas of the business
  • Training and Development: Ability to lead and develop a high performing team and hold the team accountable to Dylan’s Candy Bar’s standards and expectations
  • Ability to plan, prioritize, and proactively react to the needs of the business with a sense of urgency in a high paced environment
  • Demonstrates strong listening, written and oral communication skills
