Role Description: Under the direction of the Office Manager, you will drive the overall Customer/Vendor experience, whether in person or over the phone. You will provide assistance to the Executive, Marketing, Human Resource, Accounting and Risk & Compliance teams.

Primary Responsibilities: Overall accountability for this role includes but is not limited to:
- Answer incoming phone calls and ensure proper handling of transfers in order to serve our customers' needs
- Drive the communication with all backup receptionists to ensure all phone calls are properly handled
- Keep the phone attendant software in proper working order and drive the communication of any problems or changes with the backup receptionists
- Welcome UFS guests upon entering the building
- Coordinate proper guest access, secure sign-in information, guest signatures and issue visitor tags
- Ensure conference rooms are in proper order following a meeting and prepare for the next event as instructed
- Report any technology issues to Managed Services and communicate the issue to TeamUFS if appropriate
- Manage the electronic check-in/check-out system
- Provide administrative/calendaring support for Leadership Development
- Assist departments with printing, binding, shipping and laminating
- Maintain customer contracts, prepare renewal notices, organize contracts and placing signed proposals into employee knowledge base
- Assist Risk Management with security training
- Assist Human Resources with Employee Onboarding
- Manage the logistics of events including maintaining the events calendar, communicating, planning and executing an event, managing registration and nametags, distributing documents/agendas and oversee any meal planning needed
- Compile survey information, strategic planning documentation and prepare manuals for analysis
- Other duties as assigned

- High School diploma or equivalent
