Position Summary:

The Payroll and Benefits Specialist will ensure the timely and accurate execution of the payroll process while meeting all applicable payroll and employment law regulations. This individual will help identify process improvement and efficiencies in best support of the employee experience and the company.  This individual will provide timely support for employees and management to ensure all employees are paid correctly. This individual will report to the company Controller and support 90+ employees in multiple states including Idaho, California, Washington, Nevada, and South Dakota.

Key Areas of Responsibility:

  • Weekly Payroll Processing (to outsourced payroll service)
  • Certified Weekly Payroll Reports
  • Benefits Administration & Reconciliations
  • Compliance for Union, Public Works, and Davis-Bacon

General Tasks, Duties, and Assignments:

  • Complete weekly export of employee time from ProCore timekeeping system 
  • Import data into our ERP and outsourced payroll process, Foundation
  • Prepare Weekly Certified Payroll reports - communicates with General Contractor liaison to ensure accuracy and compliance
  • Enter data and calculate Fringe Benefit for job assignment changes
  • Provides data to outsourced payroll tax partner
  • Submit data and payment for Health Savings Account, 401K and Fringe Benefits
  • Set up and manage multi-state worker's compensation
  • Update benefits data, including health insurance and 401K, for new hires and exiting employees
  • Interact with employees and managers to ensure timely, accurate, and employee experience expectations are met

Qualified Candidates will Meet the Following Requirements:

  • Experience in accurately processing multi-state payroll including related laws and best practices
  • Knowledge of Public Works, weekly certified payroll reporting, Davis-Bacon and Union compliance 
  • Experienced in accurately maintaining data in ERP systems and databases for a small to mid-size company
  • Organized, detail-oriented professional with demonstrated ability to consistency deliver accurate work
  • Effective communicator with competence to build and maintain positive interpersonal relationships with all levels of the organization
  • Motivated to improve processes and identify efficiency opportunities
  • Ability to navigate and support change and ambiguity 
  • Strong technology aptitude and experience with office productivity tools like MS Office, O365, and other web-based tools

Education or Certifications

  • Bachelor's Degree in an Accounting related field
