General Description

This position will provide administrative support to Eurovia USA ’s Contracts Department.  This position will be responsible for assisting and supporting the Contracts Department Manager and staff in performing multiple administrative functions to ensure efficient and professional project operations.

 

Key Duties

  • Organization and time management skills a must
  • Review Certified Payroll for accuracy. Review information on Statement of Compliance, Wage and Hour Record, Deduction Record, and Fringe Benefit Record for accuracy.( Payroll knowledge is a plus)
  • Review Certificate of Insurance for accuracy.
  • Request records as required.
  • Maintain project documentation and safekeeping in accordance with project document management processes and systems.
  • Various administrative tasks to include, customer service, phone and email skills as well as interaction with sub -contractors and FDOT personnel
  • Maintaining a positive work environment, cooperation with co-workers and a can-do attitude is helpful.
  • Ability to maintain confidential information.

 

Qualification Requirements

  • General.  To perform this job successfully, an individual must be able to perform each Key Duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Education and Experience.  This position typically is not an entry-level job, as it requires demonstrable previous experience in an Administrative Assistant role. A high school diploma or general education degree (GED) is required. 
    • Two (2) or more years administrative work required.
    • Four (4) or more years construction administration experience preferred. 
    • Must be able to understand work directions and communicate effectively. 
    • Excellent written and verbal communication skills. 
    • Must be well organized and detail oriented. 
    • Must be able to work with constant interruption. 
    • Must be proficient with MS Office to include; Word, Excel, Access and PowerPoint. 
    • SAP experience preferred. 
    • Must have valid driver’s license with clean driving record.
  • Physical Demands.  The following physical demands are representative of those that must be met by an Administrative Assistant to successfully perform the essential functions of this job. 
    • Periodic physical effort, including standing, is required during a regular work shift of at least eight hours per day.  Employee must be able to periodically stand for extended periods of time, and to stoop, bend, and crouch as required to perform Key Duties.
    • Ability to lift, on a frequent basis, at least 25 pounds personally and the ability to carry up to 15 pounds personally.
  • Work Environment.  The work environment characteristics described below are representative of those that an Administrative Assistant while performing the essential functions of this job. 
    • Work is performed predominately indoors, although periodic visits to construction sites or asphalt manufacturing facilities may be required.
    • Noise level in the typical office work environment is quiet.
