We are looking to fill a Project Administrator position within our commercial construction department. This role will provide administrative support to project management, accounting and field foremen and superintendents. The ideal candidate has exceptional organizational and time management skills, the ability to meet expressed deadlines, a high level of confidentiality, integrity and professionalism, and willingness to take initiative. Experience/Education Requirements:

  • Four-year degree in business administration, finance, management or a related field, or a two-year associate degree in business, finance or management and a minimum of two years’ experience, or at least four years’ experience working in an office or team support/administrative role.
  • Excellent verbal and written communication skills
  • Well-developed organizational and time management skills; ability to schedule/coordinate projects to meet expressed deadlines
  • Proficient computer skills in MS Office, with working knowledge of or ability to learn file sharing/project management software.
  • iPhone and iPad experience helpful.
  • Knowledge of commercial construction, mechanical HVAC and plumbing systems preferred.
  • Valid State Driver’s license, and able to travel to or work from project sites.

Essential Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Provide a high level of document control; receive, record, track, copy, scan and file all project correspondence and documents. Electronically file contracts, purchase orders, insurance certificates and other applicable documents.
  • Set up new vendor accounts, track and manage change orders and keep the project directory and subcontractor directory updated and current.
  • Process new hire packets for trade employees; review new hire employment application for accuracy, obtain pertinent required documents, and file as directed. Maintain emergency contact list, site labor summary and employee numbers.
  • Serve as back-up for safety; send new hires to drug testing and safety training and ensure new hires have proper PPE (hard hat, vest, gloves, safety glasses). Promote safety and a safe work environment.
  • Submit employee termination letters to the applicable union and payroll.
  • Update and submit the daily site roster of Jamar/MMC office and field employees, and subcontractors working under Jamar/MMC.
  • Coordinate, send and track subcontracts; work closely with the corporate contract team regarding insurance certificates and provide consistent follow-up until all information is received and contract is signed and set.
  • Track, file and submit subcontractor time, work orders and contract changes as directed.
  • Schedule and track vendor deliveries; notify appropriate parties of incoming deliveries and track, file and submit delivery tickets.
  • Print and file submittals, RFIs and project manuals.
  • Work with contract project managers to process monthly pay requests to owner.
  • Submit monthly craftwork hours.
  • View, reconcile, approve and submit corporate credit card charges as directed.
  • Perform other miscellaneous office duties; laminating, copying, filing, scanning. Keep office and kitchen supplies stocked. Sign for incoming freight and contact appropriate person to pick up. Send outgoing mail.
  • Perform additional duties as assigned.

Physical Demands / Work Environment

  • Primarily a stationary position for a considerable portion of the day (sitting and/or standing). The person in this position needs to be able to move about inside the office to access file cabinets, office machinery, and occasionally construction work sites, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Must be able to collaborate with internal and external stakeholders via face to face, conference calls, and online meetings.
  • Travel to or work from project sites, or other APi Group company locations as needed.
  • The employee will occasionally lift and/or move up to 25 pounds.
  • Must be able to wear Personal Protective Equipment (PPE) in plant and/or customer environment. PPE required when in the plant, yard or construction areas include:
      • Hard Hat
      • Safety Glasses / Goggles
      • Steel-toed Boots
      • High Visibility Vest
      • Hearing Protection (designated areas)
      • Gloves
      • Personal Fall Arrest Harness
