Reports To: President

Position Summary:

You will manage business related tasks such as creating and following up with reports, organizing travel and accommodations, taking minutes, and other organizational tasks.

To be successful in this position you must be extremely accurate and fast at solving problems and have experience as an executive or administrative assistant.

This position represents an organization’s management in both written and verbal correspondence; the most important qualification for people in this position is that they have good communication skills.

Duties and Responsibilities:

Provide Administrative support

Manage executive calendars with attention to detail, accuracy, and appropriate time allocation

Coordinate communications, including taking calls, responding and following up to emails

Prepare internal and external documents

Prepare and schedule meetings, appointments and manage travel arrangements

Filing and retrieving corporate records, documents and reports

Handle requests and queries appropriately

Follow up, track and review bids and proposals

Follow up and make sure all  proposals, reports from Sr Managers are provided in a timely manner

Uphold a strict level of confidentiality

Develop and sustain a level of professionalism

 

Skills, Qualifications and Requirements:

3-5   years’ experience as an executive assistant or other relevant administrative support experience.

  Construction Industry experience preferred

  Strong computer skills, Microsoft Office products is a must

  Independent, self starter

  Reporting Skills

  Time Management Skills

  Scheduling

  Ability to multitask and prioritize daily workload

  Must be able to meet deadlines in a fast paced quickly changing environment

  A proactive approach to problem solving with a strong decision making environment
