Wharton-Smith, Inc., a highly regarded construction company, is seeking qualified candidates for an Administrative Assistant position for our Commercial Preconstruction Department in our corporate office located in Sanford, FL. In this role, the successful candidate will assist the Senior Preconstruction Coordinator in providing support to the Preconstruction Team to facilitate the administration and completion of Preconstruction deadlines.

Responsibilities:

  • Contribute to team effort by accomplishing related results.
  • Organize and schedule meetings.
  • Subcontractor outreach and database maintenance.
  • Facilitate the procurement and processing of subcontractor prequalification forms.
  • Help facilitate the daily organization of the department and project specific administrative requirements.
  • Receive, sort and distribute the mail when required.
  • Order and maintain office supplies.
  • Cover the reception desk when required – answer and direct phone calls and greet guests.
  • Assist with various print, copy, and scan projects.
  • Assist with delivering bids.
  • Other tasks as assigned by manager.

Requirements:

  • Proven experience as an administrative assistant.
  • Professional demeanor.
  • Handle sensitive information in a confidential manner.
  • Ability to effectively prioritize and execute tasks independently.
  • Dedication to completing projects in a timely manner.
  • Excellent telephone etiquette, written, and interpersonal skills.
  • Detail orientated and organized.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to perform routine functions on the Internet.
  • Must have the ability to comply with company policies and procedures.
