The High Level:

The Program Operations Associate coordinates and provides operational support for projects for the national Program department. The Program Operations Associate drives systems-focused projects across new and existing regions and works with program staff to develop systems to improve efficiency, ensure documentation of key processes, and sustain our growth. This position is based in Reading Partners’ National Office in Oakland, CA, reports to the Senior National Program Manager, and supports the drive for excellence in national programmatic implementation.

What You’ll Do:

Support the national Program department through project and operations coordination to ensure that all twelve regional teams and the national team have the resources needed to implement the program.

  • Coordinate and track departmental projects (FY21 Projects will include: Reading Center Manual document updates and ongoing management, curriculum reproduction process, and distance tutoring support) and priorities to provide transparent communication regarding milestones and markers, shared accountability, and successful project completion.
  • Lead annual and ongoing mass curriculum reproduction working in collaboration with the Director of National Program, curriculum vendors, designers, and other key department stakeholders involved in the project.
  • When necessary, support and coordinate projects across multiple departments within the organization (FY21 Projects Include: supporting pilot projects developed by our national Program, Community Engagement, IT, and Regional Operations departments; supporting operational aspects of National Program department calls).
  • Update and maintain key Salesforce dashboards (program operations, mid-year data, end-of-year data) that track data for over 7,000 students enrolled in the program.
  • Ensure up-to-date attendance tracking for all enrolled students in Salesforce, including providing ongoing support for regional staff.
  • Create other documents and processes such as templates, tracking systems, knowledge management guides, and program resources.

 

Implement and manage internal systems and knowledge bases for program management at the national level. 

  • Execute updates to internal communication systems, platforms, and tools related to program implementation and monitoring (e.g. Salesforce, the Reading Center Manual, and the Library).
  • Provide all operational materials for reading centers across the network in a timely manner and ensure other regional program needs are met (e.g., curriculum resource support).
  • Ensure timely submission of information and materials to internal communication channels (e.g., The Org-Wide newsletter, Executive Director newsletter, etc.). 
  • Work closely with the Director of National Program and Senior National Program Manager to maintain a platform for all internal program training resources.

  • Ability to cultivate and leverage strong relationships both locally and remotely. Proven track record in providing great client service experiences, solving problems, and communicating clearly, quickly, and effectively with all internal and external stakeholders. Develop collaborative working relationships with all members of the Program, Research and Evaluation, IT, Community Engagement, and Finance teams, and all regional teams.

 

Project Management

  • Ability to take personal initiative and execute on key priorities. Skilled in being able to both plan and execute for the future. Anticipate challenges and proactively act to address them. Have a unique ability to see the big picture while managing day-to-day projects.

  • A passion for details, planning, collaboration, and working with others and independently to problem solve. Ability to execute details quickly and accurately and to communicate effectively to a wide group of stakeholders. Professional organization and prioritization skills - can take a list of tasks and accomplish them on or ahead of due dates while identifying and balancing the competing priorities.

  • Have proven ability to create new systems based on feedback across organization
  • Have experience working in the launch phase of projects or programs
  • Have experience with graphic design and/or template creation

Other things you need to know

  • Travel Requirements: The Program Operations Associate is based in the national Oakland office. This position may require travel locally to manage curriculum materials needs. 
  • Typical Physical & Mental Demands: Requires prolonged sitting with some bending, stooping and stretching, eye-hand coordination and manual dexterity sufficient to operate a keyboard, telephone, photocopier, calculator and other office equipment; ability to lift up to 40lbs with or without accommodation. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Also requires moderate to intense concentration due to complexity and/or need to meet deadlines, and flexibility to readily adapt to a changing environment.
