General Description.

The Group Leave Program Specialist will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. Performs exemplary customer service and assistance to associates, executives and HR business partners.

Key Duties

  • Serves as the subject matter expert for the leave of absence programs
  • Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.).
  • Administers all aspects of leave programs. Provides extensive case management and coordinates administrative aspects of the cases and claims.
  • Coordinates and organizes all medical information and ensures that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
  • Manages all administrative aspects of leave claims to include tracking hours used/taken and working closely with HR and Payroll to ensure that pay and/or deductions are accurate and correct.
  • Works closely with associates to ensure that all relevant completed medical documentation is submitted for timely review. Maintains appropriate contact with all associates on leave and coordinates all aspects of return to work for associates on leave.
  • Presents reports as requested.
  • Partners closely with all HR business partners on all leave claims. Communicates regularly with HRBPs to review claims’ status.
  • Manages STD/LTD programs and vendor relationships. Ensures that STD claims are coordinated with FMLA or general medical cases.
  • Assists in the creation and facilitation of leave administration training programs
  • Performs other duties as assigned or required.

Required Skills/Abilities:

 

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
  • Excellent written and verbal communication skills.
  • Excellent analytical and problem-solving skills.
  • Excellent organizational skills and attention to detail.

Proficient in Microsoft Office Suite or similar software

 

  • Education and Experience. This position typically is not an entry-level job, as it requires demonstrable previous experience as a Leave Program Specialist.
    • Associate’s Degree in Business Administration, Human Resources or related field required, Bachelor’s degree preferred.
    • Bilingual – fluent in Spanish.
    • Two years of experience in Human Resources.
    • Two years of experience in managing leave cases (FMLA, STD).
    • Demonstrated ability to treat confidential matters with appropriate discretion.
    • Strong knowledge of MS Programs as well as the ability to quickly learn new software programs.
    • Excellent written and oral communication skills.
  • Physical Demands.  The following physical demands are representative of those that must be met by a Leave Program Specialist to successfully perform the essential functions of this job. 
    • Periodic physical effort, including standing, is required during a regular work shift of at least eight hours per day.  Employee must be able to periodically stand for extended periods of time, and to stoop, bend, and crouch as required to perform Key Duties.
    • Ability to lift, on a frequent basis, at least 25 pounds personally and the ability to carry up to 15 pounds personally.
  • Work Environment.  The work environment characteristics described below are representative of those that a Leave Program Specialist encounters while performing the essential functions of this job. 
    • Work is performed predominately indoors, although periodic visits to construction sites or asphalt manufacturing facilities may be required.
    • Noise level in the typical office work environment is quiet.
