Abbott Construction is seeking a Project Administrator to work on-site at a project located in DuPont, WA. This role is scheduled to be temporary until August 2021 with the potential to transition into a full-time role. The Project Administrator (PA) shall support the Project Engineer (PE), Project Manager (PM) and Superintendent (Supt) for the project to meet its goals.

Primary Duties

  • Create, distribute, and manage all required paperwork including contracts, subcontracts, job setup, certificates of insurance, purchase orders, meetings, memos, etc.
  • Track and maintain project insurance compliance.
  • Keep files in a clean, organized and trackable order, and up to date (includes both hard copy and electronic filing).
  • Manage the required information in current project management software including contacts, meeting minutes, subcontract status, etc. as requested by the PM.
  • Manage the subcontract control docket process.
  • Provide research, follow-up, data entry, etc. for the PM as requested.
  • Participate in the closeout process. This participation may range from follow-up with subs/suppliers to managing the closeout process, depending on project.
  • Orchestrate and lead archiving process.
  • Print, plot, and order reprographics.
  • Work with the Accounting department to set up vendor accounts.
  • Manage and maintain adequate office supplies.
  • Print and assemble PM reports for preparation of Job Cost Projections.
  • Assist in maintaining the break and meeting area(s) and ensure beverages are available and supplies are kept well stocked.
  • Perform miscellaneous errands as requested by Project Staff.

Qualifications

  • Must be able to pass a drug test
  • Previous office administration or project administration experience
  • Honest, goal-driven and customer-focused
  • Excellent listening and communication skills
  • Good computer skills, detailed and accurate
  • Must be familiar and compliant with non-disclosure agreements
