The Accounting Specialist is responsible for scanning, coding, routing and final review of high-volume invoices and other functions related to projects and divisions assigned as well as other duties assigned by the AP Supervisor and/or Accounting Manager.

 

  • Verify that transactions comply with financial policies and procedures.
  • Supports and drives utilization of Wharton-Smith’s initiatives and technology systems
  • Enter high volume of invoices in pending for approval.
  • Post and review high volume of approved invoices for payment.
  • Prepare high volume of vendor payments/remittances for mailing, online or phone payments.
  • Review and reconcile monthly vendor statements.
  • Research new vendors and prepare appropriate documentation for setup.
  • Enroll existing and new vendors in virtual payment program.
  • Maintain project-related records, including contracts and change orders.
  • Audit invoices and pay applications against purchase order and research discrepancies.
  • Prepare owner billings and required documentation.
  • Respond to high volume of AP inquiries from vendors and internal customers.
  • Analyze vendor accounts.
  • Monitor accounts payable to ensure payments are accurate and timely.
  • Maintain Notice to Owner Log.
  • Resolve Notice of Non-Payments Notices.
  • AIA Billing
  • Collect, log and maintain lien waiver logs.
  • Enter job cost transfers into Sage 300CRE/Timberline.
  • Verbal and written communication with employees, vendors, owners, etc.
  • Multi-State sales tax reporting
