JOB SUMMARY

 The Development Coordinator has numerous responsibilities related to the support of the Vice President and the fundraising team. They generate communication lists to contact stakeholders, and they process and track bills related to events. The coordinator also keeps track of all charitable gifts to the nonprofit and creates reports that are kept in a fundraising database and presented to stakeholders as requested. Importantly, the coordinator will lead the Agency's volunteer services. This person will also serve in a support role for planning and executing events.

  ESSENTIAL DUTIES AND RESPONSIBILITIES

 1. Gift Processing/Tracking

    1. Maintain accurate, up-to-date information on all current donor and potential donors in agency database including daily entry and processing of all received gifts
    2. Generate timely donor acknowledgement letters for all received gifts
    3. Prepare accurate and appropriate communication lists including email and mail formatting
    4. Collaborate with accounting department for accurate agreement between development and accounting systems

 

  1. Volunteer Leadership
    1. Coordinate all aspects of the volunteer engagement including, but not limited to: volunteer credentialing, referral process, liability, supervision/management/coordination, volunteer retention, centralized intake and distribution
    2. Arrange for on-the-job and other required training. Supervise and evaluate volunteers either directly or in partnership with service site
    3. Maintain a database of volunteer workers and hours of work; prepare and present reports to management staff; recommend necessary changes or adjustments needed to the volunteer
    4. Maintain a list of working partnership agencies and
    5. Manage budgets and resources, including the reimbursement of
    6. Monitor and evaluate the efficiency and effectiveness of Volunteers of America's Volunteer Services

3. Support

    1. Assist Vice President of Resource Development with coordinating committee meeting materials and pre-reads
    2. Coordinate committee logistics including meeting space, hosting supplies, confirming guest speakers, tracking attendance, distribution of pre and post meeting communications
    3. Manage committee expenses and financial coding
    4. Management of event data recording and reporting including:
      1. GolfStar Classic sponsorship, registration, and event day sales
      2. Reach for the Stars registration, pledge confirmation, and event day gifts
    5. Management of agency's two internal fundraising campaigns: Staff Appeal & United Way
    6. Management of all program relations in annual Christmas Wish Project campaign

 

  1. Serve as department's coordinator for agency administrative functions including management of policies and procedures, new hire on-boarding, analysis of resource development expenses, accurate entry and coding into financial systems, and other special projects as assigned

 

SUPERVISORY DUTIES

 This position has no supervisory duties over other full-time or part-time employees.

 

KEY CONTACTS

 It is important for this position to develop working relationships with other members of the Resource Development and Marketing Team, given the team's spirit of collaboration. This position must develop an effective working relationship with the Agency's accounting department.

 KNOWLEDGE, SKILLS AND ABILITIES

 Required

  • Bachelors degree preferred
  • Comfortable with daily accurate data input assignments and database operation
  • Ability to accurately maintain departmental files, records and databases
  • Organization skills and high attention to details are necessary
  • Additionally, they must have proven years of experience working in Microsoft Word and Excel, as well as database management
  • Solid verbal and written communication skills

Preferred

  • Ability to utilize research tools to gather necessary information in a timely and effective manner and to utilize information gathered to create suggested guidelines based upon lessons learned/best practices
  • Event management experience

Must Have:

  • Current driver's license issued by state of residence
  • Current Vehicle Inspection decal
  • Current vehicle insurance
  • Current vehicle registration in state of residence
  • Satisfactory Motor Vehicle Report
  • Must be able to pass a criminal history

 

WORKING CONDITIONS

Work is primarily performed in an office environment while seated at a desk. Dexterity is used while performing work with personal computer keyboard, calculator and other office equipment. Must be able to travel in personal vehicle to provide support at events and occasional weekend and/or evening hours may be assigned as needed.
