Estimating Administrator

Job Title:                                            Estimating Administrator

Summary: The basic function of the estimating administrator is the daily clerical and data entry responsibilities to assist in completion of project proposals for estimators, assisting project managers and, administrative duties for Manager of Estimating.

 

Essential Functions and Responsibilities:

Assist estimators in clerical phases of proposal, assist engineers with clerical duties, maintain sales/business development files and correspondence for Vice-President.

Secretarial authority to prioritize duties to be processed when overloaded and to seek help from receptionist when deadlines dictate.

 

Duties and Tasks

  • Assist in preparation of RFQ and proposal submittal packages.
  • Assist in prequalification of vendor/subcontractors.
  • Assist with Customer’s (Contractors / Owner) questions regarding proposal and company (Safety Record, Past Project History, etc.)
  • Process and Distribute Job Approval Slips
  • Place Executed Contract Document on SharePoint.
  • Complete qualification and safety questionnaires for proposal submittal purposes along with business development activities.
  • Proofread all letters and correspondence before distributions to Customers (Internal / External).
  • Data entry for Future Projects.
  • Log in new proposal packages; assignment of proposal tracking number, checking in package documents and drawings, and acknowledging receipt of package.
  • Format and process customer inquiry forms.
  • Document Control (receive, file, track, and distribute all construction documents for estimating department).
  • Distributes Letters of Introduction, Company Brochures, Job History, and other business development documents.
  • Maintain qualification programs.
  • Maintain field employee resumes, formatting of forms on request, various manual updates/revisions, etc.
  • Perform additional assignments per manager’s direction.

 

Skills, Knowledge and Abilities:

This position should possess skills and personality traits that enables you to handle complete administrative duties related to the estimating and construction division of the Company and have the ability to prioritize duties, work with others and be knowledgeable in WordPerfect and Excel.

Requirements:

Required:           High School Graduate

Experience:

Required:           Five years administrative experience with working knowledge of Microsoft Word and Excel    

Preferred:           Eight years in an industrial office with experience in all general administrative tasks with extensive software knowledge of Microsoft Word and Excel.

 

Working Conditions:                               

            Most of the time will be spent in an enclosure type office with minimal noise and a controlled temperature.
