The Ruhlin Company is seeking to hire a Shop Parts & Process Specialist.

Position Summary:  Administer, coordinate, and supervise purchasing activities and HCSS 360 maintenance to support shop operations.

Expected Outcomes:

  • Purchases are made at competitive pricing.
  • Parts and supplies arrive to the job sites when they are needed.
  • The HCSS 360 system is properly maintained and supported.

Position Responsibilities:

HCSS 360

  • Inventory parts and monitor telematics.
  • Record pickup/truck services.
  • Enter parts into the parts inventory with cost.
  • Enter new equipment purchases.
  • Review preventative maintenance logs and compare hour meters to the hours recorded in the system.
  • Monitor equipment not in the system to ensure timely completion of work orders.

Fleet Management

  • Track pickup truck maintenance and report information to the Shop Foreman.
  • Complete monthly shop fuel reconciliation.

Inventory

  • Acquire parts and supplies at the most competitive pricing available.
  • Maintain and monitor inventory level controls and replenish inventory as needed.
  • Maintain and confirm accurate inventory records and parts billing.

Purchasing

  • Maintain existing vendor relationships.
  • Create new vendor relationships as needed; research vendors and collect pricing, specifications, and other data related to goods and services.
  • Verify all incoming orders are complete and correct.
  • Oversee receipt and delivery to jobsites.
  • Review, approve, and properly code invoices for payment in Vista/Viewpoint.
  • Fulfill job site orders and follow up to ensure timely delivery.
  • Respond in a timely manner to questions regarding parts and supplies.
  • Ensure price lists are current.

General

  • Communicate and reinforce the Company vision, values, and goals.
  • Perform additional assignments as directed by the Shop Foreman.

Essential Skills and Experience:

  • Previous purchasing experience within the construction industry required.
  • Excellent math skills.
  • Proficient computer skills including Microsoft Office Suite.
  • Strong negotiation skills.
  • Outstanding time management and organizational skills.
  • Excellent verbal and written communication skills.
  • Inventory management.
  • Ability to establish and maintain effective relationships with a wide cross section of individuals.
