We are looking for an organized, detailed and collaborative person to fill an Administrative Support – Safety role on our team. This person will coordinate and manage all aspects of support for the safety team and department, including confidential regulatory and personnel paperwork, customer compliance, database updating and maintenance, worker’s compensation, fleet/DOT compliance, department communications, documents and manuals. The ideal candidate has initiative, self-discipline, strong attention to detail and the desire to make an impact in this role with Jamar.

Experience/Education Requirements:

  • Two-year/AA degree in business management or administration, with at least two years’ experience in a fast-paced, complex administrative role, or high school degree or equivalent and at least four years’ experience in a fast-paced, complex administrative role.
  • Ability to work with and maintain confidential data and information.
  • Strong computer skills; Microsoft Suite (Excel, Word, PowerPoint). Must be proficient in or able to quickly learn Access and Google Docs.
  • Strong organization skills: successfully multi-task, prioritize, meet deadlines, produce accurate work.
  • Construction industry experience, and experience with trade/union hiring, is preferred.
  • Must have a valid state driver’s license with an acceptable driving record and ability to travel to work sites / office locations as needed.

Essential Duties and Responsibilities:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Maintain compliance with customer-specific safety qualification websites; ensure that insurance certificates area current, employee training is assigned and completed, submit required employee qualifications and licensing, etc.
  • Coordinate Jamar’s Substance Use program; serve as the Designated Employee Representative (DER) and liaison. Conduct pre-employment screens for union employees, manage the random and post-accident drug test process, coordinate employee participation and testing in the follow-up program, conduct Reasonable Suspicion training for supervisors, and administer union-specific screening protocol as required.
  • Update and review the company safety database; review submitted safety observations, near miss incidents and injuries, and ensure accuracy in weekly and monthly reporting; populate and review the OSHA 300 and 300A logs; enter monthly manhour reports; and prepare and distribute weekly, monthly and ad hoc reports.
  • Maintain safety training and other certification records (i.e. MSHA, task specific, aerial lift, respirator qualifications, etc.), OSHA / MSHA regulatory statistics.
  • Help manage worker’s compensation claims; work with vendor(s) to process and manage claims, assist employees with the process, coordinate the treatment plan with the claim adjusters and the light-duty return-to-work assignments. Prepare and distribute Inquiry Incident Investigations, update the RMIS database and respond to requests for information.
  • In conjunction with the Fleet Manager, coordinate Motor Vehicle Report (MVR) and USDOT processes; maintain list of active drivers for annual MVR review, process CDL clearinghouse requests and maintain DOT Health Card and Qualification files.
  • Administration of the company Driving Without Distractions policy, including maintaining an active list of drivers and distributing regular driver compliance reports.
  • Update and communicate pertinent safety related information to employees in a variety of formats (i.e. newsletters, formal emails, memos, etc.)
  • Plan and coordinate safety meetings and other department initiatives; select vendors, venue, meal planning, invites and RSVPs, etc.
  • Support the development and maintenance of site-specific safety plans in partnership with the safety staff.
  • Coordination of company safety incentive program(s).
  • Actively participate in programs and initiatives designed to enhance the overall good of the company, including sister company support as needed.
  • Performs other duties as assigned.

  •  Primarily a stationary position for a considerable portion of the day (sitting and/or standing). The person in this position needs to move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Must be able to collaborate with internal and external stakeholders via face to face, conference calls, and online meetings.
  • Travel to project sites, or other APi Group company locations as needed.
  • The employee will occasionally lift and/or move up to 20 pounds.
  • Must be able to wear Personal Protective Equipment (PPE) in plant environment.
  • PPE required when in the plant, yard or construction areas include:
    • Hard Hat
    • Safety Glasses / Goggles
    • Steel-toed Boots
    • High Visibility Vest
    • Hearing Protection (designated areas)

    • Personal Fall Arrest Harness
