Administrative Assistant

Office assistant needed for construction company.  Ideal applicant will be friendly, reliable, punctual, and can multitask in a fast paced environment with minimal supervision.  Should have excellent communication skills and be able to assist customers in professional and courteous manner.  Will also support office manager and team as needed.

 

JOB DESCRIPTION

 

Administrative Assistant

The Administrative Assistant is responsible for all clerical and administrative functions necessary for successful operation of the office. They will efficiently and effectively assist designated personnel in all administrative duties.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Ø Maintain and coordinate office schedules, meetings, conferences, and company social events

Ø Order office supplies and assist in upkeep of office and office equipment

Ø Provide administrative support for managers and office staff

Ø Responsible for receiving and distributing mail, and responding to routine correspondence

Ø Conduct payroll, billing, receivable, and payable functions as assigned

Ø Schedule and bill all service and inspection jobs

Ø Assist in special reporting and completing licensing requirements

Ø Assist in compiling contracts, proposals, and job packets

Ø Accomplish responsibilities as required using business software as approved by IFP

Ø Offer suggestions and solutions on improving efficiency of general office procedures

Ø Other duties and special projects as assigned and required

 

EXPECTATIONS

Ø Book service and inspection jobs in Astea and file on server daily.

Ø Schedule inspections as they are requested.

Ø Field calls from potential customers and record all contact info if the applicable department is not available. Relay information same day.

Ø Bill all inspection and service work weekly.

Ø Assist with all paperwork as needed.
