For over 110 years Childhaven has been a leader in serving children, families, and communities that have experienced trauma and adversity. In the past few years, we have been adding services and locations, becoming more community-based, and forming partnerships to increase our impact. In June 2020, Childhaven consolidated with Renton Area Youth and Family Services (RAYS) and Art with Heart, which further expanded our capacity to better serve more children, families, and communities. ABOUT THE OPPORTUNITY: 

Childhaven is seeking a dynamic HR Administrator to support us in achieving our mission, vision, goals, and values. This is a hands-on role that needs an experienced HR professional who has a great depth and breadth of skills, including but not limited to: Recruitment and Hiring, HRIS, Employee Engagement, Benefits and Leave Administration, and best practices related to Human Resources and Anti-Racism Policies and Procedures. 

Above all, the selected candidate will bring enthusiasm for helping us build and support a passionate and skilled workforce of diverse professionals who make significant positive impacts in the lives of children, families, and communities. Travel is required between our service locations, currently located in Seattle and South King County. This position will report to our HR Manager.

Primary Job Duties:  

Benefits Administration 

  • Respond to benefit inquiries from managers and employees on plan provisions, benefit eligibility and enrollment, status changes and other general inquiries.  Ensure timely and courteous resolution of problems related to benefits enrollment and processing.
  • Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident, and death claims.
  • Resolve discrepancies by collecting and analyzing information.
  • Responsible for annual benefits open enrollment process.  Assist with design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions.
  • New Hire Orientation- present benefits and orientation to ADP to new hires.
  • Effectively communicate with the Finance Administrator to ensure all payroll related information is shared in a timely manner.
  • Work closely with vendors and broker on issues arising from data file feeds, missing data, employee questions, etc.
  • Maintain employee benefit/medical files.
  • Serve as the administrator for the Human Resources Information Systems (ADP) and ensure all information is maintained accurately and timely.
  • Establish a timeline to ensure benefits communications are sent timely throughout the year to employees.
  • Maintain procedures for all benefit related functions.
  • Serve as Human Resources Help Desk Administrator.
  • Coordinate and communicate wellness fairs and vendor wellness newsletters in collaboration with Wellness committee.

Leave Administration 

  • Oversight and administration of leave requests requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), Washington Paid Leave (WLA), state and local leave laws, and short-term or long-term disability plans.
  • Handle the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes managing the third party leave administrator in gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Partner with HR Manager to advise team leaders and team members on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.
  • Communicate with employees on leave regarding benefit continuation.
  • Maintain quality communication and customer service with HR Manger and Team Managers to facilitate smooth and timely return to work; assists in relaying communication between HR Manager, Finance Administrator, and Team Managers during leave.  

Recruitment Coordination 

  • Coordinate the efficient and effective recruitment of all positions.
  • Review job descriptions for relevant information and post to various appropriate sources.
  • Maintain network folders for inclusion of most recent and complete agency job descriptions or position descriptions forms and archiving outdated forms; discrete recruitment process folders; offer letters; and Position Description Forms.
  • Assist hiring managers and HR director on aspects of the recruitment/selection process when requested including coordination and communication of interview schedules and applicant status; reference checks; and closing out the recruitment process and files.
  • Facilitate’ employee onboarding and off-boarding with internal stakeholders (manager, IT, Facilities, Finance Administrator, Operation Project Manager, etc.
  • Provide support to Workforce Planning projects as needed.

Staff Recognition & Project Management 

  • Communicate Agency’s employee Birthdays and Anniversaries monthly.
  • Support the internal CARE Taskforce.
  • Lead or assist in implementing projects as requested including updating the organizational chart and process improvement initiatives.
  • Help administer the HR components of SharePoint

  • Adept at designing and maintaining an efficient and effective HR filing systems
  • Fully utilize of 3rd party HRIS Systems, preferably ADP
  • High degree of respect for confidential information

Education & Training

Associates degree or higher in human resources, social science or related field

3 years of experience supporting the HR function and/or minimum of one year of experience as a specialist in 3 HR disciplines
