POSITION GOAL
This position performs clerical and record-keeping duties for WIC, which includes initial contact with clients, either in person or via phone, issuing WIC cards, to participants, maintaining WIC records, utilizing the IDPH Focus system, and completing Focus reports. This requires knowledge and initial interpretation of WIC policies and procedures under the direction of the WIC Support Staff Supervisor/Child Health Compliance Specialist.
SCHEDULE AND WAGE
Monday-Friday 8:00 am -4:30 pm; $14.35 - $15.63
*This position is eligible for a $1200 retention incentive after successfully completing 180 days of employment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Schedules Alliance appointments to include WIC and MH. Completes reminder calls and follow up calls for missed appointments.
- Determines eligibility loads food benefits for new clients onto WIC card according to policy and procedure, explains card usage and redemption methods, and assures necessary signatures for obtaining WIC benefits.
- Obtains necessary Alliance intake information to include demographic information, residency, income verification, voter registration, and social needs.
- Enters appropriate client and appointment information into IDPH’s FOCUS system.
- Receives referrals within the My Care Community Platform.
- Makes client referrals to community resources utilizing the My Care Community Platform, if applicable.
- Follows Alliance opening and closing procedures to prepare for clinic day and close clinic day.
- Drives to outlying clinics or corporate facilities to provide services, assist in providing needed supplies, records, equipment, and mail to clinic sites.
- Supervises the Alliance waiting room, including some child control, and assuring the room is picked up at the end of the day.
- Answers phones, perform visitor check-in and provides information on HACAP programs.
- Gathers and inputs information necessary for HACAP clients into Focus, CIS, and TAV computer systems.
- Implements office procedures and policies.
- Assists with orders and distributes supplies and equipment for all programs within the clinic site.
- Initiates, coordinates, and assures timely and accurate completion of clerical responsibilities within the clinic.
- Perform other duties as assigned.

Education and/or Experience
- Successful completion of one (1) year secretarial program
OR
High school diploma/GED
AND
One (1) year clerical experience
OR
An equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work
- Experience with computers
Skills and/or Abilities
- Ability to work under pressure with limited supervision
CONDITIONS OF EMPLOYMENT
- Receive clearance by the Iowa Department of Human Services on child abuse and criminal checks upon employment and resubmit every two (2) years.
- Valid driver’s license
- Valid car insurance
- Ability to work until 6:30 pm two evenings a month
