The Public Client practice group is seeking a Legal Secretary to work in our Washington, D.C. office on a full-time basis. This practice group exclusively represents state attorneys general and major cities in civil investigations and litigation involving consumer fraud. The Legal Secretary will provide professional administrative and secretarial support for the lawyers in the practice group. The ideal candidate will possess the following:
Required Qualifications:
- High School Diploma or equivalent
- At least five years of prior legal administrative/secretarial or paralegal experience in a law firm environment
- Prior experience with litigation, including court filings and familiarity with PACER and state court dockets
- Advanced experience using Microsoft Word, including styles and other formatting tools; Excel; and Outlook
- Advanced experience with Microsoft PowerPoint preferred
- Proficiency with iManage / FileSite, Chrome River and Aderant
- Typing proficiency (at least fifty words per minute with high accuracy)
- Excellent spelling and grammar and experience proofreading documents
- Experience managing travel arrangements
- Ability to work overtime as needed
- Dependability, professionalism and discretion on highly confidential matters
Key Responsibilities:
- Format pleadings, briefs and memos using Microsoft Word
- Document production and management to include organizing, drafting, formatting, inputting, editing, proofreading, retrieving, copying, scanning, filing, transmitting and printing legal documents and other correspondence
- Assist with creating PowerPoint decks for client presentations
- Track all ECF/filing credentials and update them as new cases are filed, and provide assistance with ECF filings as needed that occur during normal business hours
- Maintain attorney membership in courts, bar associations, and other organizations requiring updated credentials
- Prepare and enter attorney reimbursable expenses; prepare invoices and track payments
- Enter and post attorney time
- Arrange, coordinate, and organize travel, client conferences, and meetings
- Answer phones, addressing incoming calls, taking notes/messages or redirect calls when appropriate
- Maintain attorneys’ calendar, appointments, and meetings to maintain deadlines, multiple agendas and provide timely reminders
- Review and prepare incoming and outgoing mail accordingly
- Perform any additional related administrative functions as needed

- Ability to prioritize and manage multiple projects without missing deadlines

- Have a strong work ethic and sense of professionalism and discretion, demonstrating accountability, integrity, good judgment and commitment to the group’s work
- Must adhere to legal, professional and ethical codes with respect to confidentiality and privacy
- Adept at establishing and maintaining effective working relationships; engage effectively with all levels of employees and management across the Firm
- Be highly analytical, with excellent organizational skills and attention to detail
