Job Summary

Simon Group Holdings seeks a dynamic, well-organized, experienced and competent Executive Personal Assistant to Sam Simon, Founder and CEO of Simon Group Holdings. This position includes servicing Mr. Simon’s needs for his business endeavors (including multiple offices) and his personal responsibilities, including his family. This is a fulltime position Monday-Friday, with the ability to be on call 24/7 and to work extended hours and weekends when necessary. 

The ideal candidate must be positive and proactive, anticipate the needs of others, and have comfort managing travel arrangements, calendaring, correspondence and planning events.  Candidates must be flexible and exhibit a service mindset, be great communicators and maintain confidentiality.

The Executive Personal Assistant will report to and work closely with Mr. Simon’s Executive Director.

Primary Responsibilities & Scope

Responsibilities include, but are not limited to:

  • Managing heavy calendars and daily schedules for CEO and family
  • Ability to interact with multiple C-Level Executives on a daily basis on behalf of the Mr. Simon to coordinate meetings, conference calls, travel, etc.
  • Management and constant upkeep of contact database and related information
  • Effective communication, including timely follow up and follow through on numerous tasks
  • Acting as a gatekeeper that manages the flow of Mr. Simon’s day
  • Coordinating travel arrangements with detailed itineraries
  • Overseeing all operations pertaining to event planning and special projects
  • Handling personal errands, personal shopping and concierge work, as needed
  • Support the administration and execution of facilities, facilities personnel and hosted events
  • Ability to learn and use emerging technologies for scheduling, video/tele conferencing, etc.
  • Be in the office ready to start each day at 8AM for the day’s business each morning
  • Additional personal assistant responsibilities as they arise and upon request

Required Experience/ Skills

  • Prior experience as an Executive Assistant or a similar role preferred
  • Proficiency in both MAC and PC systems as well as iPhone and other emerging technologies, including but not limited to Microsoft Outlook and Teams, Dropbox, Zoom/Skype, etc.
  • Detail oriented with exceptional organization and task management skills; superior client relationship management and incredible customer service skills a MUST!
  • Dedication to responsibilities, proactive and driven attitude with a willingness to succeed in a fast-paced dynamic environment
  • Fast learner with ability to easily grasp and understand new concepts
  • Polished, poised and professional in both mindset and manor; including careful use of discretion
  • Willingness to adapt to an ever-changing and often flexible environment
  • Ability to manage challenging personalities and high stress environments
  • Excellent references required from both current and previous employers
  • Strong command of English language; outstanding writing and verbal skills
  • College degree preferred
