Job Summary

Is responsible for all activities associated with the front office operations and procedures to ensure organizational effectiveness, accuracy and efficiency that assures successful operation of a professional sports franchise, as well as, managing all aspects of the merchandise operation, including, but not limited to, purchasing, marketing, inventory control, staffing, training, cost controls and accounting procedures.

Essential Duties/Responsibilitie

Abide by Company Safety Program and Policies, while performing duties safely.

This is a confidential employee and must be able to safeguard information that is deemed confidential by the company and management.

Weekly reviews timecards for all baseball employees. Enter payroll data into Lawson, run edit, and submit to President/General Manager for approval. Approved summary sheets are forwarded to Payroll by designated time weekly.  Print & distribute daily timecards once a week for all hourly employees.

Responsible for all personnel paperwork necessary for payroll processing.  This includes gathering information from personnel (i.e., I-9, visa paperwork and proper payroll and benefit forms.) Provide new employee onboarding programs.  Establish and maintain employee files and process status changes for all assigned employees.

Assure new employee records are complete and submit to President/General Manager for review and signature.

Will act as an accounting assistant for NEBCO Accounting office and handle all aspects of accounting at the baseball office. This will include some time at both offices. Will implement sound fiscal and financial management practices, including annual budgeting and oversight related to accounting provided by the NEBCO Corporate Office.

Actively assist in the sales off season tickets, packages and group tickets.

Process invoices for accounts payable according to department standards, submit to President/General Manager for approval and signature and forward to Corporate for payment. Responsible for all accounting duties related to ticket sales, merchandise sales, yearbook sales, scorecard sales and other misc. game day sales.

Responsible for processing all expense reimbursements and meal money from players and interns.

Responsible for design and setup display in store.

Responsible for wholesale programs and all other aspects of merchandising.

Responsible for execution of all aspects of sponsorship promotions and marketing support for community programs. Responsible for the ordering, booking and all logistics surrounding promotion events. Will lead promotional meetings and issue minutes accordingly.

Will act as promotion coordinator during the game and is responsible for the distribution of all giveaway items, execution of all between inning promotions and staff coordination & posting of flyers and promotional elements.

Review all stock orders to ensure a fast-moving balanced inventory of general merchandise and collectibles.

Responsible for greeting customers answering multi-line telephone system and the closing of the front office on a daily basis. Help with all areas of merchandising.

Responsible for management of office supplies including ordering, stocking and organization.  Will oversee the service, repair and maintenance of all office equipment and be responsible for all areas of mail service.

The Office Manager will assist the President/General Manager in all business matters related to the success of the franchise.

Other duties may be assigned.

Supervisory Responsibilities:  This position will hire, oversee & schedule baseball interns during the season.

Experience/Education

  • High school education and one year of accounting and payroll work experience plus at least two years of buying merchandise and promotions work experience; or equivalent combination of education and experience. 
  • Previous work experience in a confidential office environment is important. 
  • Familiarity with inventory control policies and procedures is preferred.
  • Previous point of sale experience is helpful.   
  • Previous work experience in a professional sports environment would be very helpful.

Working Conditions

While performing the duties of this Job, the employee is regularly required to sit, stand and walk.

The employee is frequently required to use hands and fingers, to reach, handle, or feel.

The employee must occasionally lift and/or move up to 25-40 pounds.

Ability to bend, stoop to complete merchandise retrieval or display. 

Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.

The noise level in the work environment is usually quiet. 

In the stadium area the noise level can get very loud. 

The facility is a professional baseball environment. 

It is very important that the employee be able to meet accounting deadlines, office sports commitments, shop requirements and a flexible work schedule.
