You are an innovative, self-directed individual who thrives on multi-tasking while maintaining high attention to detail to fill a Service Contract Administrator role. You enjoy working with a dynamic team and take a positive and proactive approach to working with customers in the service department. THE JOB:
Service Contract Administrator
- Accurately input new Preventive Maintenance contracts, Coordinate PM contract renewals and keep PM contracts current in all aspects of installed items, material, and schedule.
- Material ordering ensuring best possible procurement and price on maintenance items
- Schedule all preventative Maintenance work on a proactive monthly basis.
- Generate Maintenance work order, manage dispatch console/PM Batch Scheduler, including working with Service Coordinator to reschedule Technicians if unable to complete a job.
- Verify completion, review contract documentation, prepare “pull through” Field quotes (FQ’s) and work with Project Manager for approval
- Become power user of Field Service Module.
- Become efficient in Access system and keep PM records in Access accordingly.
- Appropriately document phone, verbal or email Preventive Maintenance requests, including “bill to” and any other billing requirements, such as the purchase order number, not to exceed amounts, or related work details, prior to entering into Maintenance Field Service module.
- Work within Compliance portals for RPZ Inspections
- Aid with customer surveys as requested
- Supply training and support to Technicians and Service Department office users as necessary to ensure smooth workflow and customer satisfaction.
- Support the Service departments initiatives and programs designed to enhance the overall good of the company, including Standard Operating Processes (SOP’s) to ensure they are followed in all work performed.
- This position will be a shared services position supporting all Jamar Service business units as we continue to grow our service base.
- Some site visits, client meetings and travel may be required.
THE QUALIFICATIONS:
- One-year experience in a complex business office and ability to work in a fast-paced environment.
- Effective communication skills – oral, written, and presentation
- Proficient in Microsoft Office programs, including Outlook, Word and Excel.
- Ability to navigate department/company specific systems, including Jamar business software
- Working knowledge of iPhone and iPad capabilities
- Previous experience in Maintenance, Service or Construction is preferred.
- Mechanical aptitude and knowledge of HVAC, plumbing or related knowledge is a plus.
