Brief Description:

Provide professional support to company executives, including managing calendars and contacts, construction contract administration, make travel arrangements, prepare a variety of correspondence and reports for executives and attend community events.

Essential Activities:

  • Calendaring using Outlook
    • Maintain calendars to maximize executive's time
    • Coordinate meetings among multiple attendees
    • Schedule virtual meetings using Zoom
    • Construction Contract Administration
  • Perform CA on projects run by company executives
    • Process subcontracts and purchase orders using Procore and DocuSign
    • Prepare project close out documents per project specifications, using established systems
    • Track required project documentation, using established systems
  • Executive Support and Assistance
    • Assist CFO with various accounting spreadsheets and projects using Excel
    • Assist CFO with Apprenticeship Program administration
    • Maintain CFO filing
    • Take and distribute meeting minutes as requested
    • Conduct research as requested
    • Prepare correspondence and spreadsheets for executives as requested
    • Maintain contacts
    • Attend company functions and community events
  • Travel Arrangements
    • Make travel arrangements for executives
    • Submit receipts per company procedures
    • Assist employees with company travel
    • Assist employees with travel expense advances and reconciliation
  • Office Support
    • Assist other office support staff as time permits

Experience:

  • AA degree in accounting, business, construction management or related area of study, or equivalent combination of technical training and/or related work experience
    • Minimum of 5 years previous executive assistant experience
    • Experience using Microsoft Office - advanced level, Procore, Sage, TimberScan 
    • Experience in a Construction or Accounting firm preferred
