Job Title:                                          Billing Specialist Construction

Summary: The Billing Specialist oversees billing and collections. He / She will review various billing reports to ensure timely and accurate customer invoicing – review and resolve exceptions in a timely manner. They will also ensure processes and procedures are in place to maintain accurate records. Includes setting up master data for customers, contracts, and the associated schedule of values.

Essential Duties and Responsibilities: (Included but not limited to)

  • Review and prepare accurate and timely billing in accordance with the construction contract
  • Creates billings in compliance with the schedule of values for construction contract or alternate formats that meet the specific formats of customers
  • Coordinate with Project managers on an ongoing basis to properly estimate progress billings
  • Works with the project manager to aid resolution of labor and material in order to prepare an accurate billing in accordance with contract and revenue recognition guidelines
  • Resolve customer billing and receivable issues promptly
  • Adhere to end of month closing processes and deadlines
  • Support pre-lien notification process
  • Evaluate customer credit worthiness using credit services or customer credit application
  • Facilitate lien release process from vendors and for customers
  • Maintain accurate accounts receivable records and monitor aged receivables
  • Facilitate certificate of insurance on newly awarded projects
  • Investigate and resolve customer queries
  • Actively involved in the finance team as well as the development and adherence to processes
  • Other administrative tasks as required

Qualifications/Skills

  • Detailed oriented
  • High school diploma or equivalent
  • 3-5 years’ experience as a construction billing specialist with attention to AIA/progress billing
  • Excellent knowledge of MS Office particularly Excel
  • Proficiency in English
  • Proficient in data entry
  • Knowledge of accounts payable, payroll and revenue processes
  • Strong understanding of general accounting procedures
  • Some office management experience helpful but not required

  • Attention to Detail an absolute must have along with being a confident self-starter and not afraid to wear multiple hats in a fast-paced, friendly small office environment
  • This position must execute many tasks simultaneously while supporting excellent working relationships and superior leadership skills with all level of the organization
  • Extremely proficient at time management and meeting critical deadlines
  • High proficiency in MS Word / Excel / Outlook
  • Demonstrate responsibility, proactivity, and sound business thinking.
  • Ability to learn to navigate through different systems and portals
  • Ability to prioritize, ask questions when appropriate and exercise good judgment
  • Ability to work well in team environment and/or independently

Hazards and Atmospheric Conditions:

 This position is primarily office based and most work is done in an office environment. Occasionally this position may require site visits to active construction sites. On a construction site, the employee may be required to climb ladders and walk in areas under construction. While on construction sites, the employee must wear proper protective equipment such as hard hat, eye and hearing protection, high visibility vest, etc. The employee must be familiar with all company safety equipment and is required to follow company safety procedures, prior to entering the construction site
