SEATTLE REP an Assistant Company Manager role which exists to support the Comp to support the Company Manager in all aspects of artist care, and to facilitate communication between artists and the Seattle Rep staff. This role serves as an ambassador and liaison between artists, staff, trustees, and volunteers. This role works both in-office, and often offsite to handle artist needs, travel and housing errands, artist hospitality, and more.
ABOUT US
Located in Seattle, WA, Seattle Rep is a Tony Award-winning not-for-profit organization and the pre-eminent theater in the Pacific Northwest. We produce 8 – 10 plays each season (which runs from Sept – June) in our two theater spaces: the Bagley Wright Theater (690 seats) and the Leo K Theater (289 seats). We host nationally recognized artistic programs such as the New Play Program, Public Works, the Next Narrative Monologue Competition, Pay What You Choose performances, and numerous audience enrichment and engagement initiatives, including post-play panels, discussions, and community events.
Seattle Rep has a $15 million annual operating budget and a $13 million endowment. In 2019, we launched the first of two consecutive capital campaigns with an initial target of $20 million to be raised over the next several years, followed by a more robust 7+ year campaign in support of new facilities.

ESSENTIAL FUNCTIONS
Collaborate with Company Manager To
- Coordinate artist travel logistics, housing, special requests, access needs, and maintains a close working relationship with all artists throughout the season
- Assist with transport of oversized artist boxes, tour trunks, deliveries, musical equipment, welcome bags, and other additional housing amenities as needed
- Work in close coordination with Administrative, Production and Artistic staffs to provide highest standard of service and hospitality for actors, directors, designers, musicians, and other guest artists
- Work closely with travel agencies and maintain strong internet travel ticketing skills and flexibility
- Work effectively with vendors (airlines, car services, hotels, apartments, etc.) to provide quality services for out-of-town artists
- Maintain company resident apartments and set standard of excellence in lodging
- Purchase apartment supplies, furniture, and union-required items
- Maintain relationships with apartment managers and apartment leasing companies
- Schedule and supervise apartment cleaning staff
- Maintain relationships with corporate housing partners and hotel sales managers
Provide Cross-Departmental Artist Interfacing
- Work closely with Production, Artistic and Stage Management staffs to coordinate artist scheduling, media notices, and other company communications
- Apply knowledge of union agreements including Actors’ Equity Association, SDC, USA & IATSE
- Maintain strong relationship with MarComm and Development to coordinate Artist interviews, media, events, and facilitate artist approval of all marketing materials
- Work closely with the Patron Services Office to process all artist comp ticket requests
Provide Administrative Support
- Help prepare and maintain Company Management cost control & housing charts
- Process reimbursable and vendor invoices including apartment bills, vendor invoices, reimbursable artist expenses, and other miscellaneous billing
- Maintain strong relationship with Finance; maintains monthly expenditures and cost control
- Initiate and maintain the relationships with health care professionals (i.e. doctors, dentists, masseurs,) and cultivate these relationships
- Maintain contact information for area businesses and services in respect to visiting artist needs
- Assist with company hospitality, morale, and theatre-wide events
Serve as an essential contributor to Seattle Rep’s culture and success
- Add constructively to the collaborative and collegial health of the organization
- Actively participate in the EDI (equity, diversity, and inclusion) work of the organization
- Engage with and strive to advance Seattle Rep’s mission, vision, and values in all aspects of work
- Assist with artist onboarding and orientation to Seattle Rep by introducing artists to Seattle Rep staff, values, building regulations, anti-harassment and EDI policies, and more
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- Minimum one-year experience in administrative and/or customer service, arts/theatre experience a plus
- Computer literacy and accuracy a must: MS Office software, internet research, etc.
- Strong diplomacy, tactfulness, interpersonal, multitasking, and teamwork skills
- Ability to positively problem solve and adapt quickly to changing needs
- Ability to work independently and as part of a team
- Ability to communicate clearly and effectively, both verbally and in written form
- Ability to work in a highly organized, detail-oriented manner
- Demonstrated ability to appropriately manage confidential information
- Experience in successfully meeting deadlines under pressure with grace and humor
- Ability to work a flexible schedule, including evening and weekend hours
