Administrative Manager I

Summary:

This position is responsible for providing a broad range of administrative coordination and support for the Chief Science and Education Officer in managing the Research and Education Departments at the Alaska SeaLife Center and will oversee the progress of operations. The ideal candidate will be able to work independently, manage multiple projects simultaneously, work under the pressures of overlapping deadlines, and possess the ability to develop efficient workflow strategies and tactics.

Education/Training Requirements:

Bachelor’s degree in Business Administration or related field with a minimum of three years experience or equivalent work experience in a related administrative/management position.  Experience in Research or Education administration preferred.  Mid-level accounting principles and budget management skills necessary.

 Primary Responsibilities:

  1. Work continuously with discretion, diplomacy, and tact to foster collaborative relationships, build a culture guided by inclusivity, excellent service and respect to advance common goals.
  2. Coordinate the departmental communication plan, including, but not limited to, emails, communications, marketing, publications, and website content.
  3.  In collaboration with department leadership, develop and facilitate departmental budget planning, execution, and reporting processes, and resource management strategies.
  4. Monitors and complies with grant reporting deadlines. Coordinates with department leadership in preparation and submission of funding requests and reports to funders.
  5. Work with other departments to coordinate opportunities for cross departmental, mission-centered collaborations, including annual and quarterly promotional plans for upcoming programs/events.
  6. Maintain a list of projects and deadlines, provide support with tracking, progress review, and a range of adjacent needs as requested, coordinate cross project activities.
  7. Monitor and maintain CSEO’s detailed calendar and scheduling needs.  Evaluate priorities and necessity and make appropriate adjustments to the calendar as needed.
  8. Manage research administrative projects (e.g.  update and maintenance of department databases and repositories)
  9. Oversee usage of lab and office space, including coordination of visiting and staff scientist’s use of designated research space.  Actively coordinates incoming research (at an administrative level) and ensures correct flow of information to pertinent individuals.
  10. Coordinates with CSEO and Human Resources Department on policies, procedures, job descriptions and hiring related to the Research and Education programs.
  11. Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  12. As necessary, in absence of CSEO, represent CSEO at Senior Management Team meetings.
  13. Fosters good relations with visitors, volunteers, community leaders, contractors, and fellow staff members by promoting positive attitudes, good will, cooperation, and providing high standards of service.
  14. Complies with all Alaska SeaLife Center policies, procedures, and programs.
  15. Performs other related duties as assigned.

Minimum/Required Qualifications

  • Self-motivated and self-directed, with excellent time-management and prioritization skills, and ability to work under minimal supervision.
  • Demonstrated ability to maintain confidentiality.
  • Experience in a managerial position with thorough understanding of project/program management techniques and methods.
  • Outstanding organizational skills.
  • Must be capable of working independently in interdepartmental functions.
  • Must be able to communicate clearly and interact effectively with all levels of staff and diverse audiences.
  • Must possess a customer-service focus.

Preferred Qualifications:

  • Experience working with government agencies.
  • Possess a creative mind with an ability to suggest improvements.
  • An understanding of departmental and Center-wide operations is a plus but not required.

Physical Requirements:

The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this position. 

The person in this position will operate a computer and other office equipment, such as a calculator, copy machine, and computer printer. Communicate with staff and collaborators, remain stationary for longer periods of time and move equipment including audio /visual equipment weighing up to 20 pounds.
