Job Summary:
Responsibilities include providing assistance with timecards, preparing invoices, and clerical support for the invoicing process as well as project-based work as assigned.
Supervisory Responsibilities: None.
Salary - Dependent on experience. Range $21 - $26 per hour.
Duties and Responsibilities:
- Daily invoicing in QuickBooks and client invoicing systems
- Assist in Month End Reporting (State Comp, Union, etc.) and daily timecard verification for payroll
- Input workloads received in an inventory system
- Completing, Sending and Posting Customized Invoices Daily
- Tracking of purchase order amounts and remaining values
- Tracking of unpaid invoices and the total amount out
- Receive and process work authorizations, work commencements and purchase orders from customers.
- Ability to understand above documents in lieu of invoice creation and sending
- Correspond with customers regarding invoices
- Runner between yard locations to gather, upload and input received workloads the day of
- Knowledge of SharePoint a plus
- Other duties as assigned
Minimum Qualifications:
- Education: High School Diploma or GED
- Experience: 2-3 years of related experience
- Ability to pass new hire and random drug tests
- Valid and Active Driver’s License and be able to be insured with our company.
Additional Knowledge and Skills:
- High integrity, reliable, team player
- Must be self-motivated and can manage multiple tasks
- Strong knowledge of Outlook, O365 applications, Excel, Word
- Attention to detail and highly organized
- Experience with Taulia, Nexus and Ariba systems is strongly preferred
- Excellent written and verbal communication skills
- Ability to meet deadlines and stay on task and make low level decision on their own
- Ability to keep confidentiality is a must
Physical Demands:
Moderate noise typical of an office setting such as computers, printers, phone, and light customer traffic. While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel. The employee is frequently required to talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Work Environment:
While performing the duties of this Job, the employee is regularly exposed to moving mechanical parts and outside weather conditions. The employee is frequently exposed to extreme heat and vibration. The employee is occasionally exposed to wet and/or humid conditions; high, precarious places and extreme cold. The noise level in the work environment is usually loud. Sites can be very hot and dusty.
