We're looking to add a dynamic individual to our team! This is an ideal position for a dependable self-starter with strong communication and organizational skills, attention to detail, and ability to handle multiple tasks simultaneously. You’ll be at the center of delivering strong customer service to internal and external stakeholders.

Job Responsibilities:

  • Establish a warm and welcoming atmosphere, greet visitors, answer questions via email and phone, and communicate messages as necessary.
  • Create project-related documents such as reports, graphics, spreadsheets, contracts, proposals, forms, and letters that adhere to company policy, style, and format.
  • Assist with coordination of office events such as charitable events, office gatherings, and an awards banquet.
  • Manage files, make copies, prepare and collate reports, and perform miscellaneous duties as assigned.
  • Collaborate with Accounting on various tasks, including record keeping and database updates.
  • Adhere to corporate and quality guidelines, review contractual obligations/scope of work and assist in the production of deliverables.
  • Work closely with office staff to provide support on project, client, and general office needs.
  • Order supplies and manage office mailings and shipping.
  • Make travel arrangements for staff and register them for conferences and/or outings.

Required Qualifications:

  • An associate degree that has equipped an individual with strong communication, analytical, and problem-solving skills.
  • A minimum of five years of administrative assistant experience.
  • Ability to write, edit, and proofread written materials, which could include letters, reports, and contracts.
  • Proficient in MS Suite to create and import tables, charts, and graphics.      
  • Dependable, organized, flexible, and the ability to multi-task.
  • A strong communicator who can manage multiple tasks simultaneously.
  • Ability to maintain a positive attitude and establish a professional, welcoming and inclusive environment for anyone working with the company.
  • Notary Public or ability to become one.

Other Desired Skills and Experiences:

  • Experience with programs such as SmartSheet, Adobe Suite, Masterworks, Microsoft Publisher, and Deltek Vision would be beneficial.
  • General financial/accounting experience a plus.
  • A basic understanding of the engineering consulting industry or previous experience working for an engineering company.
  • Working knowledge of utility permitting and the environmental permit application process.
