Mail Room Supervisor

Reports To:       Director of Survey Support Operations                                       

Location:           Allentown (in-office)                              

FLSA Status:     Full time/Non-Exempt   

 

Job Summary:

The  Mail Room Supervisor is responsible for managing the day-to-day operation of our mailroom activities, including but not limited to the flow of outbound and inbound mail and notification letters, processing returned mail, working closely with the local Post Office to ensure protocols are being followed, logging and scanning returned surveys, and overseeing our cash management process.

Key Responsibilities:

  • Establish and foster a professional atmosphere and team culture
  • Ensure all cash management quality and safety protocols are documented and adhered to at all times
  • Conduct one-on-one performance reviews, team meetings and coaching sessions as needed with Associate Supervisor and PT Mailroom staff
  • Must have valid driver license and registered vehicle
  • Monitor team and individual Quality/Production rates, and all staff members are meeting our minimum requirements
  • Process mail merges and oversee FedEx mailings for custom work
  • Maintain postage account reports
  • Validate outgoing mail drops against postage account and notify management of any discrepancies
  • Maintain accounting logs for cash-in mailings and preliminary monthly accounting reports; Create cash accounting paperwork for all monies processed daily
  • ; Maintain inventory and general cleaning/maintenance of paper, letterhead, stock room and envelopes as well as materials needed for the operation of printers, folder/inserters and postage meters
  • Manage daily mail pick-ups from the post office with another senior member of the department
  • Determine daily staff assignments for receipting incoming mail according to mail pick up volume
  • Work closely with management team and project staff to ensure we are meeting Client expectations
  • Maintaining office cleanliness and organization
