JOB TITLE:               EXECUTIVE ASSISTANT
SALARY RANGE:     NEGOTIABLE

LOCATION:               EXECUTIVE OFFICE

 

Summary:  Under general supervision of the Senior Vice President and Chief Operating Officer, provides complex secretarial and administrative support to both the President and CEO and Senior Vice President and COO, requiring exercise of independent judgment and initiative.

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Schedule meetings and appointments, ensures executive management is prepared and in possession of materials and information required for meetings, conferences and other scheduled events, maintains list of professional contacts and manages travel itineraries
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive, provides executive summaries and follows up coordinating further action
  • Monitors work flow and assignments, follows up to ensure accurate and timely completion of work
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Maintain an organized filing system of paper and electronic documents
  • Develop and sustain a level of professionalism among staff and clientele
  • Monitor and evergreen web site content
  • Prepare reports, correspondence and presentations. Maintains confidential files
  • Arrange corporate events to take place outside of the work place, such as fund-raising events and staff appreciation events, complete special projects and other duties as assigned
  • Explain nature of DHA programs, procedures and services to clients; maintains absolute confidentiality of work-related issues, client records and DHA information
  • Supports the relationship between DHA and the constituent population by demonstrating courteous and cooperative behavior when interacting with clients, visitors, and DHA staff
  • Enthusiastically promotes the President/CEO’s priorities for the operations of DHA

Knowledge and Skills:

  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software

  • Exceptional ability in interacting with people of different social, economic, and ethnic backgrounds.

 

MINIMUM QUALIFICATIONS:

Bachelor’s Degree and two (2) years of Executive Assistant administrative experience; OR an equivalent combination of education and experience.

Valid Texas Driver’s License Required.
