Job Title:       Project/Office Administrator   

Reports To:   Director of Administration

Location:      Allentown, PA

                                                                                                        

Position Summary

 

The Project/Office Administrator is responsible for the general oversight of our Allentown, PA location.   Duties include liaising with Property Manager and internal Department Leads, managing vendor relationships, administering our Key Card access process, as well as a variety of project support tasks.

 

  Key Responsibilities

 

  • Main point of contact with Property Manager
  • Answer phones, monitor company voice mail, sign for deliveries, deliver mail
  • Manage office visitor process (sign-in, name tags, etc.)
  • Order office supplies
  • Manage FedEX account for Allentown office
  • Ensure cleaning and maintenance vendors adhere to facility standards
  • Oversee conference room meeting schedules
  • Plan and execute office events, as needed
  • Review and approve all invoices pertaining to the Allentown facility
  • Monitor local weather forecast and offer recommendations for delayed opening, early dismissal, and office closings
  • Schedule applicant interviews; assist with new hire paperwork
  • Maintain part-time employee attendance/scheduling log
  • Ensure employee time sheets are completed in a timely manner
  • Disseminate important information or policy changes from upper management
  • Ensure self and staff compliance with company operational, quality, and personnel procedures
  • Manage various e-mail inboxes and data entry tasks

 

Competencies

 

  • Experience in a professional office environment
  • Proficiency in Microsoft suite of products, specifically Word and Excel
  • Ability to work independently, self-starter
  • Strong time management and organizational skills
  • Orientation to process and detail
  • Excellent communication skills, both verbal and written
  • Ability to multi-task and prioritize to meet deadlines in a fast paced, dynamic environment

 

 

Experience and Educational Background

 

  • College degree preferred
  • 3+ years of office administration experience
