The Field Coordinator is responsible for supporting and assisting the Project Engineer with the overall project administration and management of a construction project. The Field Coordinator will make up a portion of the field office staff, which could include: engineers, office manager, document control, schedulers, procurement, warehouse, and other support personnel on the project. The Field Coordinator will setup and implement the weekly project controls as directed by the Project Engineer. These controls include scheduling and project management systems required by Strobel Energy Group and as defined in the prime contract documents.

The Field Coordinator will be providing information to assist the Project Engineer in continually evaluating the overall status of the project, searching for those things that have potential to negatively or positively impact the project goals and objectives.  Time constraints dictate that there is an effective working relationship with the Project Manager, with a clear understanding of how challenges and opportunities are to be handled.  Effective performance in this role requires a comprehensive knowledge and understanding of the current project situation, as well as the project scope, prime contract, corporate and project goals.  The Project Coordinator could be responsible for a specific area of the project such as direct support to a Craft Superintendent, Quantity Collection, Scheduling, Procurement, etc. 

The role requires interfacing with all areas affected by the project including the client(s), engineering/design, subcontractors, distributors, vendors, and the ongoing strategic communication with project management regarding the status of the project.

Essential Duties and Responsibilities

General

  • 2 years of construction experience.
  • Proven ability to work collaboratively and execute independently, maintain excellent rapport with team members.
  • Learning to read and understand project drawings, specifications, technical data, assembly methods, and O&M manuals.
  • Self-motivated; capable of taking initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines.
  • Interpersonal and communication skills to coordinate team efforts, provide direction to team members, and communicate project objectives, parameters, status, and outcomes to stakeholders.
  • Willing to travel extensively and relocate to the next project location for an extended period (typically 6-12 months).
  • Ability to adapt and become an influential leader of Strobel Energy Group culture and values.

Client interaction

  • Represent Strobel Energy Group in a professional manner in all client interaction activities.
  • Assist in providing the client with contract required reports (weekly, monthly, schedule).

Safety

  • Understand and follow Strobel Energy Group Corporate Safety Plan and site-specific safety plan.
  • Support safety training meetings and sessions.
  • Support safety department with ordering site specific safety consumables (goggles, gloves, etc.).
  • Take active role in safety audits.
  • Out of office every morning for stretch/flex and morning gang box meetings.
  • Assist in completion of site safety scorecard.
  • Report ALL safety events and near misses.
  • Understand and be able to navigate/support First Response communication.

Quality

  • Ensure contract drawings and specifications are distributed to all field leadership and the crafts.
  • Provide support to ensure the site quality plan is communicated and all inspections and quality documentation is being completed on time and assembled for final turn over.
  • Work with QAQC department to develop doc control log and document revision tracking plan.
  • Support QAQC department with assembly of the Turnover Books.
  • Review work for compliance with Corporate and contract requirements.
  • Produce quality work in all you do.

Leadership

  • Learning to function as one of the key Project Leaders on the project.
  • Have ability to step in as a Project Engineer as needed.
  • Conduct and lead meetings internally in a professional manner.
  • Record and transcribe meeting minutes, act as a liaison with client’s project staff, generate correspondence, represent the Project Manager at meetings with the client, or any other supporting activity.
  • Take part in on-the-job training to staff and to the craft personnel.
  • Understand and know hiring laws and follow Strobel Energy Group HR policies.
  • Complete roles and responsibility for direct reports.
  • Participate in implementing a performance improvement plan with the support of a supervisor.

Team Management

  • Manage a team of direct reports to include material receiving, warehouse and tool room.

  • Productivity Tracking
    • Assist in set up and use Strobel Energy Group Productivity Tracking tools.
    • Assist weekly update process (quantity collection, feedback reports to field supervision).
    • Assist in the development of a low productivity mitigation plan.
  • Average Labor Rate
    • Distribute weekly ALR to front line supervision weekly.
    • Support high ALR recovery effort.
  • Indirect Schedule
    • Support the monthly update.
    • Support forecast updates to include budget and actual costs, through the end of the project.

    • Support the monthly update.
    • Support the update of the forecast to include budget and actual costs, through the end of the project.
    • Include cycle dates and PO numbers.
  • Procurement Status Report
    • Support the weekly update.
    • Include the status of all subcontracts tracked and status of all purchases tracked/assigned.
    • Support the material receiving and inventory plan.
    • Support material expediting through Spectrum’s Material tab.
  • Risk and Opportunity Log
    • Contribute to the log in the Monthly Status Report.
    • Support actions taken to reduce current risks and seize opportunities.

    • Contribute to the Lesson’s Learned document.
    • Assist in compiling and submitting at the completion of each project.

    • Assist in closing out project commitments.

Scheduling

  • Scheduling:
    • When there is no designated Scheduler assigned to the project, the Field Coordinator shall support maintaining the schedule with direct assistance from the Corporate Office through regular updates, with information obtained from the appropriate members of the team.
    • Attend/support familiarization training on operating and managing the project schedule in the current standard software (Primavera P6).

  • Budget Process
    • Learn the budgeting process of taking the Estimate and converting it to the Strobel Energy Group Standard Phase codes, following the rule of thumb guidelines (i.e. no phase code with more than 1,000 hours).
  • Forecasting Process (Work in progress reporting)
    • Learn and assist in accurately completing the forecasting process for assigned cost categories.
  • Cashflow
    • Learn and Provide input to the cashflow forecast and curve to ensure positive cashflow for the project.

Subcontract and Procurement Management

  • Subcontract Administration and Management: Assist with the assembly of drawings and specifications to support the process of obtaining bids from qualified subcontractors, with the support of the subcontracts group or site manager select a qualified candidate and negotiating the subcontract.  As the work progresses, the Field Coordinator may be called to act as a liaison between the project team and the subcontractor.
  • Subcontract Administration and Management:
    • Able to assemble scope of work for each specific subcontractor.
    • Learning and communicating key terms of the subcontract (LDs, Payment, Prime pass through).
    • Request and review subcontractor qualifications.
    • Receive, review and compare proposals in a bid tab format.
    • Support the assembly of the final subcontract agreement and attachments for submittal to Corporate.
    • Receive, and support the review, and approval subcontract schedule of values and construction schedule.
    • Attend the onsite kickoff meeting with each subcontractor prior to mobilization.
    • Receive and support the approval of subcontractor invoices and track progress.
    • Learn and support management of required subcontract communications (Notices, delays, scope changes).
    • Learn and support management of subcontract change requests.
    • Learn and support the final contract scope and administrative close out (Punch list, warranty, liens).
    • Based upon project approval authority, execute final payment and financial close out in Spectrum of each subcontract.
    • Complete and return subcontractor evaluation form.
    • Manage Subcontractor master log, change order logs etc.
  • Procurement
    • Participate in the procurement process on the project.
    • With support from the Superintendent, prepare material buyout take offs from issued for construction drawings.
    • Provide support to Superintendents for buy out and equipment rental needs.
    • Review purchases with the Sr. Project Engineer or Project Manager.
    • Submit Proposed Purchase Orders to Corporate Procurement Department.
    • Set up and manage receiving, inventory control, and Overage, Shortage, and Damage Reports.
    • Manage the expediting process.
    • Manage unapproved invoices and blanket PO draw downs.
    • Manage onsite material issuing and control.

Technical Abilities

  • AutoCAD and 3d modeling
    • Learn how to operate AutoCAD viewers, print screen sections, add and remove layers.
    • Learn how to operate 3D/BIM viewers, print screen sections, add and remove scope layers.
  • Microsoft Office
    • Have completed or be able to show Microsoft Level 1 Operator proficiency.
  • Planning Process
    • Participate in the weekly planning cycle.
  • Specifications and Drawings
    • Able to read and understand standard multi-discipline specifications and drawings.

Experience

  • Manage two direct reports.
  • Oversee and execute the project controls and management of a $2 million project.
  • Lead/direct a field staff of 30 people for short periods if needed.
  • 2 years’ field experience.

Hours

This position is a Full-Time salaried position.  The schedule can vary based on the project requirements.  Typically, 50 hours/week.
