Construction Administrative Assistant

Reporting to: Office Manager

Status: Non-Exempt $40,000-$60,000

Job Purpose

This role should provide administrative support to the office and offsite marketing and sales team by answering phones, directing visitors, disseminating mailings, and coordinating marketing/sales initiatives.

Duties & Responsibilities

  • Answer/direct/screen mainline phone calls to the appropriate recipients;
  • Greet and direct visitors in the front office;
  • Sort/disseminate/scan mailings to the appropriate party;
  • Coordinate and track Sales Team association memberships & events;
  • Research, order, and create Purchase Orders for Sales Team promotional items;
  • Manage office supply levels and coordinate reordering;
  • Coordinate catering for company trainings, events, and round tables;
  • Arrange travel for team members;
  • Respond to internal/external inquiries;
  • Aid in administrative tasks during the height of our season;
  • Perform any other administrative tasks as required.

Qualifications

  • High school diploma or equivalent certification required;
  • Minimum 0-3 years previous related experience;
  • General knowledge & understanding of the construction industry is preferred;
  • Possess excellent written & verbal communication skills and be able to effectively communicate with the field, management, and office staff alike;
  • Proficient in Excel preferred;
  • Must be detail oriented and highly organized;
  • Successfully work in a fast-paced work environment;
  • Work under pressure in a deadline driven environment;
  • Must be proactive and solution oriented;

Working Conditions/ Physical Requirements

  • Requires extensive computer use for long periods of time;
  • Noise level is typically quiet in the office;
  • Required to stand, walk, use hands or fingers to probe, handle, or feel and reach with hands or arms;
  • Required to sit for long periods;
  • Required to listen and respond in a professional manner;
  • Occasionally required to lift and/or move up to 25lbs;
