Job Title: Administrative Assistant (Safety)

Position Summary: Will focus on administrative duties in the Safety Department, and on projects to support the Safety Department, Human Resources Department, and the Asset Manager. Reports to the Safety Director.

Supervisory Responsibilities: None.

Duties and Responsibilities:

  • Working special projects (assisting with LMS implementation and company-wide training initiative, PPE program research and implementation, etc.)
  • Assist with formatting and editing training material for inclusion in the LMS
  • Assist with tracking training and following up with late records
  • Assist with obtaining and filing incident reports
  • Travels occasionally to projects with the safety director to learn field safety requirements for our industries
  • Assists with the distribution of safety programs as needed and filing of completed JHAs and daily equipment checklists
  • Learns DOT and FMCSA requirements and assists HR and asset manager with the DOT program
  • Track weekly driver report and follow up
  • Learns workers’ compensation claims reporting, filing, and tracking
  • Other projects as needed

Essential Qualifications:

  • Must have a minimum of 2 years experience with Safety and Administrative Support
  • Excellent written and verbal communication abilities in English
  • Ability to write to professional standards
  • Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint
  • Self-starter with the ability to multitask in a fast-paced environment
  • Ability to work independently and in groups on projects
  • Ability to handle time-sensitive and confidential information
  • Ability to learn quickly and willingness to work hard
  • Great attitude

Education and Experience:

  • Educational background in Safety or Human Resources, maybe BA, MA or certificate programs
  • Any equivalent combination of experience, education, and/or training as approved by Human Resources

Physical Requirements: While performing the duties of this Job, the employee is regularly required to sit; use hands to handle, or feel and reach with hands and arms.  The employee is occasionally required to walk and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment: Moderate noise typical of an office setting such as computers, printers, phones, and light customer traffic.
