The Human Resources Associate provides support to the Training & Development Department by maintaining accurate DOT Driver Qualification files, DOT Clearinghouse procedure, assigning various training, entering/scanning of certifications and other administrative functions as assigned.  This position will cover the new hire onboarding process when needed. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

DOT Driver Qualification file maintenance of 550 plus drivers 

  • Initial file audit to assure that all required documentation was received and completed properly
  • Create and maintain employee digital DQ files
  • Interpret and analyze vehicle abstracts – initial hire, annual & for CDL Drivers, ensure medical card dates & Dr. info is accurate
  • Monitor driver medical card & license expirations, enter data into HRIS
  • Medical examiner verification via FMCSA National Registry

DOT Clearinghouse - hire & annual for CDL for 220 plus drivers

  • Process full query for new CDL hire
  • Distribution of employee written consent to perform limited query
  • Contact field supervisor/driver on limited query possible findings

 Additional Responsibilities:

  • Process client specific background checks
  • Assist in creating and maintaining employee ISN testing & training
  • Schedule online customer specific training
  • Entering and scanning of employee training in HRIS
  • Cover new hire onboarding process when the Human Resources Associate – Onboarding is away

REQUIRED SKILLS/ABILITIES:

  • Ability to handle sensitive information with high level of confidentiality
  • Maintain overall good relationship with field supervisory, employees and service centers
  • Strong interpersonal skills
  • Effective communication and listening skills
  • Attention to detail, highly organized, self-starter with ability to prioritize tasks
  • Strong problem solving and analytical skills
  • Proficient with MS Office Suite
  • Bilingual in English/Spanish or Portuguese is a plus but not required

EDUCATION/EXPERIENCE:

  • High school diploma or GED
  • Previous experience in DOT Driver Qualification preferred
  • Experience in onboarding and processing new hire paperwork including I-9 verification is a plus but not required
