The Logistics Coordinator supports the teams from both our New Hampshire facilities (Keene and Walpole) by coordinating multi-level projects, providing excellent customer service, and assisting in overall operational logistics so each project can be completed on time and on budget. This role requires the ability to work collaboratively with internal team members and external vendors. They will work closely with the Director of Shipping, Receiving and Logistics, Job Captains, and build team members to set them up for success in all areas. This position works out of our Keene N.H. facility. 

Primary Responsibilities 

Coordination  

  • Scheduling and contracting with subcontractors/vendors 
  • Arrange accommodations for site crews 
  • Fleet management - vehicle tickets and scheduling required services 
  • Assist with the preparation of project management documents, including vendor subcontracts, and purchase orders 
  • Inventory management 

Communication 

  • First line of contact with vendors and subcontractors  
  • Liaison between our teams and outside resources 

Shipping and Receiving  

  • Processing/approving vendor invoices in accordance with company policies and procedures  
  • Setting up delivery dates, preparing shipment paperwork, and follow-up with the client  
  • Process both incoming and outgoing orders      
  • Serve as a back-up for other production shipping needs          

Administrative Support 

  • Meeting Support
  • Ensure all meetings are documented and notes are distributed
  • Assist with scanning as needed
  • Assist with developing and implementing standard operating procedures (SOPs)
  • Provide exceptional customer service in the form of hospitality to vendors and guests that visit the facility
  • Submit timecards for work crews that out at job sites 

 

Qualifications 

  • 2+ Years of coordination support/logistical management, preferably for a construction or manufacturing company 
  • Comfortable working on projects that can have last-minute changes and being able to communicate new plans/timelines to all appropriate stakeholders 
  • Exceptional attention to detail; being able to break out projects into the smallest pieces to ensure nothing gets missed 
  • Ability to efficiently manage multiple projects at the same time 
  • Superior time-management and organizational skills  
  • Flexibility and adaptability – no two projects are identical, so being able to pivot and support changing needs is a must
