Job Title: Accounts Payable Specialist – Vegetative and Forestry Management Division

 Job Summary:

Responsibilities include providing accounts payable and clerical support to the accounts payable and purchase order process for the vegetative and forestry management division.

Supervisory Responsibilities:  None.

Duties and Responsibilities:

  • Enter all Purchase Orders into the PO system.
  • Track POs through the approval process, send reminders as needed.
  • Validate Account Payable bills for accuracy and expense code all Accounts Payable bills and match with purchase order.
  • Emailing coded bills to Accounts Payable for payment.
  • Approving Account Payable bills in VP1/Vista 
  • Tracking Accounts Payable bills in the system to completion.
  • Coding credit card expenses in ComData system and matching payroll coding.
  • Cross train on assisting Project Account on other project related support.
  • Cross train on additional administrative needs for the Cameron Park office.
  • Assist with implementation and management of JJ Keller system.
  • Other duties as assigned

 Minimum Qualifications: 

  • Education: 2-year Accounting degree or 2+ years related experience in Accounts Payable and a high school diploma.
  • Experience: 2-3 years of related experience

  Additional Knowledge and Skills: 

  • Fully Bilingual (English and Spanish)
  • Knowledge of SharePoint a plus
  • High integrity, reliable, team player
  • Must be self-motivated and can manage multiple tasks
  • Strong knowledge of Outlook, Excel, Word
  • Attention to detail and highly organized
  • Experience with Quick Books, Vista and ComData systems are strongly preferred
  • Excellent written and verbal communication skills
  • Ability to meet deadlines and stay on task and make low level decision on their own
  • Ability to keep confidentiality is a must

Physical Demands:

Moderate noise typical of an office setting such as computers, printers, phone, and light customer traffic. While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel. The employee is frequently required to talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Work Environment:

While performing the duties of this Job, the employee is regularly exposed to moving mechanical parts and outside weather conditions. The employee is frequently exposed to extreme heat and vibration. The employee is occasionally exposed to wet and/or humid conditions; high, precarious places and extreme cold. The noise level in the work environment is usually loud. Sites can be very hot and dusty.
