JOB SUMMARY
Reporting to the Chief Financial Officer and the Executive Vice President of Enterprise & Administration, the Executive Assistant of Administration supports the CFO, Executive Vice President of Enterprise & Administration, and administrative team in all day-to-day activities. Handles information related to Accounting, Human Resources, Information Technology, and other administrative functions. Coordinates assistance for all administrative functions in support of the CFO & EVP of Enterprise & Administration. Duties are complex, frequently time-sensitive and confidential.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provides quality administrative support and project management for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
- Maintains and administers agency document workflow solutions for invoicing and contracts.
- Coordinates the access of all funder system logins for billing, compliance, and grant applications.
- Maintains calendars and schedules appointments for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
- Coordinates activities and projects for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
- Performs other duties and responsibilities as may be requested by the Chief Financial Officer and Executive Vice President of Enterprise & Administration
ADDITIONAL DUTIES AND RESPONSIBILITIES
Oversight and management of the Central Administrative Office’s day-to-day needs.
Coordination and management of the agency’s national chartering requirements with VOA, Inc.
SUPERVISORY DUTIES:
KNOWLEDGE, SKILLS AND ABILITIES
- High level of interpersonal and human relations skills with the ability to interact appropriately with a wide variety of personality types, excellent critical thinking skills and ability to prioritize and handle non-routine situations.
- Strong working knowledge of databases and other computer software, including but not limited to, Microsoft Office products – Outlook, Word, Excel, PowerPoint, etc.
WORKING CONDITIONS
Normal office environment
This position may require overnight travel up to 25% of time as well as local travel appropriate to the performance of duties and responsibilities. As such, incumbent must have:
- Current driver’s license issued by state of residence
- Current Vehicle Inspection decal
- Current vehicle insurance
- Current vehicle registration in state of residence
- Satisfactory Motor Vehicle Report
PHYSICAL REQUIREMENTS
Work is primarily performed in a normal office environment while seated at a desk operating a personal computer keyboard, calculator, phone and other office equipment.
