JOB SUMMARY

Reporting to the Chief Financial Officer and the Executive Vice President of Enterprise & Administration, the Executive Assistant of Administration supports the CFO, Executive Vice President of Enterprise & Administration, and administrative team in all day-to-day activities. Handles information related to Accounting, Human Resources, Information Technology, and other administrative functions. Coordinates assistance for all administrative functions in support of the CFO & EVP of Enterprise & Administration. Duties are complex, frequently time-sensitive and confidential.

 ESSENTIAL DUTIES AND RESPONSIBILITIES       

  1. Provides quality administrative support and project management for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
  2. Maintains and administers agency document workflow solutions for invoicing and contracts.
  3. Coordinates the access of all funder system logins for billing, compliance, and grant applications.
  4. Maintains calendars and schedules appointments for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
  5. Coordinates activities and projects for the Chief Financial Officer and Executive Vice President of Enterprise & Administration.
  6. Performs other duties and responsibilities as may be requested by the Chief Financial Officer and Executive Vice President of Enterprise & Administration

ADDITIONAL DUTIES AND RESPONSIBILITIES

Oversight and management of the Central Administrative Office’s day-to-day needs.

Coordination and management of the agency’s national chartering requirements with VOA, Inc.

SUPERVISORY DUTIES:

  • Receptionist

KNOWLEDGE, SKILLS AND ABILITIES

  • High level of interpersonal and human relations skills with the ability to interact appropriately with a wide variety of personality types, excellent critical thinking skills and ability to prioritize and handle non-routine situations.
  • Strong working knowledge of databases and other computer software, including but not limited to, Microsoft Office products – Outlook, Word, Excel, PowerPoint, etc.

WORKING CONDITIONS

Normal office environment

This position may require overnight travel up to 25% of time as well as local travel appropriate to the performance of duties and responsibilities. As such, incumbent must have:

  • Current driver’s license issued by state of residence
  • Current Vehicle Inspection decal
  • Current vehicle insurance
  • Current vehicle registration in state of residence
  • Satisfactory Motor Vehicle Report

PHYSICAL REQUIREMENTS

Work is primarily performed in a normal office environment while seated at a desk operating a personal computer keyboard, calculator, phone and other office equipment.
