POSITION SUMMARY

The Senior Payroll Specialist will be responsible for overseeing all aspects of payroll administration in a unionized environment. This role will involve ensuring accurate and timely processing of payroll for unionized employees, maintaining compliance with relevant labor laws and union agreements, and providing support for payroll-related inquiries. The Senior Payroll Specialist will collaborate with HR and finance teams to streamline processes and implement best practices. This role ensures all pay practices and contract pay requirements are met in accordance with Veit’s contractual obligations as well as local, state, and federal laws. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Process Payroll: Manage the end-to-end payroll process for unionized employees, including data entry, calculations, and verification of timesheets, deductions, and benefits.
  • Union Compliance: Stay abreast of union agreements, collective bargaining agreements, and relevant labor laws to ensure accurate interpretation and application of payroll-related provisions. Tracks and submits certified payroll reports electronically to various contract owners including: LCPTracker, MN Dept of Administration, MN Dept of Transportation, WI Dept of Transportation, State of MN and other specialty forms as provided by Contractor. Completes and submits monthly Union reports.
  • Audit and Reporting: Conduct regular audits of payroll data to ensure accuracy and compliance. Generate reports for management and external stakeholders as needed. Completes Quarterly and Annual Reports (W-2’s, State and Federal Unemployment, etc.). Responsible for proper filing of payroll tax returns and submission of necessary benefit and deduction payments to proper entities.
  • Resolve Issues: Address and resolve payroll discrepancies, inquiries, and disputes in a timely and professional manner. Collaborate with relevant stakeholders to resolve complex issues.
  • System Maintenance: Oversee the maintenance and updates of payroll systems and software. Implement improvements to streamline processes and enhance efficiency.
  • Training and Support: Provide training and support to payroll staff and managers on union-related payroll policies, procedures, and systems.
  • Communication: Serve as a point of contact for union representatives regarding payroll matters. Maintain open lines of communication to address concerns and ensure compliance.
  • Compliance Monitoring: Monitor changes in labor laws, regulations, and union agreements to ensure ongoing compliance with payroll-related requirements.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES 

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field from an accredited academic institution with a minimum of 5 years of relevant work experience; or equivalent combination of education and experience
  • Minimum 5 years experience in payroll administration, with specific experience in a unionized environment.
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
  • Excellent communication skills, including the ability to effectively convey complex information to both technical and non-technical stakeholders.
  • Proficiency in business process management software tool.
  • Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities and deadlines effectively.
  • Ability to approach opportunities and challenges with an energetic, motivational, action-oriented approach.
  • Thorough understanding of labor laws, union agreements, and collective bargaining agreements.
  • Proficiency in payroll software and MS Office Suite, particularly Excel.
  • Excellent attention to detail and accuracy.
  • High level of integrity and confidentiality.
  • Ability to prioritize and take immediate action on high-priority tasks.

PREFERRED KNOWLEDGE, SKILLS AND ABILITIES 

  • Certified Payroll Professional (CPP) designation preferred.
  • Experience in Vista Viewpoint and HCSS.
  • Construction industry experience.

OTHER

  • Must be able to work 8+ hour workdays, Monday-Friday.
  • This position is based on site in Rogers, MN. Remote work may be available after training is complete (approximately 3 months).

The employee is regularly required to stand and/or sit in a stationary position for extended periods of time; 50%+, use a computer/laptop in on office environment with natural and/or florescent lighting, navigate between office building floors, attend off-site meetings on occasion, and lift up to 50 lbs. unassisted. Ability to perform manual work requiring frequent periods of extensive physical exertion and potential exposure to adverse weather conditions. The employee occasionally may encounter high noise levels, but hearing protection is provided/required.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those employees may encounter while performing the essential functions of this job. Employee frequently works alone and with others. Most often in a typical office environment. Employee is rarely exposed to minimal to moderate noise levels on job sites. Work environment is hybrid, with the flexibility to work a combination of offsite and onsite.
